Dunbar Wellness Group is seeking a highly organized and detail-oriented Onboarding & Credentialing Specialist to support the Human Resources Department with employee and contractor onboarding, credentialing, compliance tracking, and personnel file management.
The specialist will work closely with Human Resources to ensure new hires and contractors complete all required pre-employment and credentialing requirements before beginning services. This position will also be responsible for monitoring expiring credentials, maintaining accurate personnel records, following up on outstanding requirements, and supporting ongoing workforce compliance.
The ideal candidate is comfortable managing multiple onboarding files simultaneously, communicating directly with candidates and staff, and maintaining accurate tracking systems in a fast-paced behavioral health environment.
Essential ResponsibilitiesCoordinate the onboarding process for new W-2 employees and 1099 independent contractors.
Send, collect, review, and track required onboarding and credentialing documentation.
Monitor completion of new-hire tasks within ADP Workforce Now.
Review personnel files for completeness and identify outstanding or deficient documentation.
Track required background clearances, certifications, licenses, training, and other credentials.
Monitor expiration dates and follow up with staff regarding upcoming renewals.
Maintain accurate electronic and physical personnel and credentialing files.
Maintain and update HR credentialing and onboarding tracking spreadsheets.
Assist with verification of professional licenses, NPI information, exclusion screenings, employment verification, and other required credentials.
Track PA Criminal, Child Abuse, and FBI/DHS clearances.
Track required training and certification completion.
Communicate onboarding requirements, deadlines, and outstanding items to candidates and current staff.
Assist with preparing personnel files for internal and external compliance reviews and audits.
Coordinate with Case Management, clinical leadership, and other departments regarding staff onboarding and clearance status.
Maintain strict confidentiality of employee, contractor, and organizational information.
Provide general administrative support to Human Resources as needed.
Minimum 2 years of Human Resources, onboarding, credentialing, healthcare administration, or related administrative experience.
Strong organizational skills and exceptional attention to detail.
Experience maintaining confidential employee or personnel records.
Ability to manage multiple candidates, deadlines, and outstanding requirements simultaneously.
Strong written and verbal communication skills.
Proficiency with Microsoft Outlook, Word, and Excel.
Ability to independently follow up with candidates and staff and maintain accurate documentation.
Ability to work full-time and on-site in Philadelphia.
Previous behavioral health, mental health, healthcare, or human services experience.
Experience with employee or provider credentialing.
ADP Workforce Now experience preferred.
Experience with IBHS, OPT, CBH, Medicaid-funded services, or a similar regulated healthcare environment preferred.
Familiarity with PA background clearances, professional license verification, NPI verification, and exclusion screenings.
Experience preparing personnel or credentialing files for audits or compliance reviews.
