HR Coordinator

Melmark Overview

Melmark is a nonprofit organization providing clinically-sophisticated evidence-based special education, residential, vocational, and therapeutic services for children and adults diagnosed with autism spectrum disorders, developmental and intellectual disabilities, acquired brain injuries, medical complexities, and other neurological and genetic disorders.

HR Coordinator Overview

Provides comprehensive administrative support to the Human Resources Department. Serves as a professional point of contact for employees, applicants, visitors, and callers while ensuring exceptional customer service. Coordinates and facilitates the timely, accurate, and efficient onboarding of candidates and newly hired employees. Supports departmental operations, projects, and employee engagement initiatives to ensure the effective delivery of Human Resources services.

Schedule and Salary Information

  • Monday- Friday 8:30am-5pm
  • Fully on-site
  • Rate: $26.00-$31.00/hour

Requirements

  • Bachelors degree required.
  • A valid US Driver’s License
  • Minimum of three (3) years of Human Resources, Human Services, ABA or Administrative experience is highly preferred.
  • Proficiency with the Microsoft Office Suite, HRIS and electronic document management. Excellent written and verbal communication skills. Strong interpersonal skills are an asset.

HR Coordinator Responsibilities

  • Provide proactive administrative support to the Human Resources Department, anticipating departmental needs and ensuring efficient day-to-day operations.
  • Manage the candidate onboarding process from offer acceptance through the employee's first day of work. Ensure all pre-employment requirements are completed and personnel files are accurate, complete, and compliant with organizational and regulatory requirements.
  • Maintain I-9, E-Verify and personnel files in accordance with federal, state, and organizational requirements.
  • Serve as a primary resource for new hires by answering questions related to onboarding, employment documentation, benefits enrollment timelines, and organizational policies.
  • Conduct employment reference checks and complete Act 168 employment history verification requests within established timeframes. Ensure all required documentation is received, reviewed, and filed prior to an employee's start date.
  • Create and maintain reports, presentations, spreadsheets, flyers, communications, and other business documents using Microsoft Office and other software applications. Develop charts, graphs, dashboards, and other visual materials as requested, ensuring all work is accurate, complete, and professionally presented.
  • Manage the Chief Human Resources Officer's calendar as assigned by scheduling meetings, coordinating appointments, resolving scheduling conflicts, and ensuring adequate time between commitments. Monitor meeting invitations and follow up as needed to confirm attendee participation.
  • Partner with the Chief Human Resources Officer and Director of Human Resources to plan, coordinate, and execute employee engagement programs and departmental initiatives. Develop project plans, monitor timelines, coordinate task assignments, and maintain tracking systems to ensure successful and timely completion of all activities.
  • Review and process departmental invoices, ensuring accuracy, timely payment, and proper coding to the appropriate budget line items. Maintain and update the Human Resources departmental budget tracking spreadsheet.
  • Create and issue employee identification badges for new hires and replacement badges for current employees in accordance with established timelines and organizational policies.
  • Welcome and assist visitors to the Human Resources Department by providing exceptional customer service and directing individuals to the appropriate staff member.
