- Provide comprehensive administrative support, including preparing reports, correspondence, presentations, research, and other business documentation.
- Manage calendars, appointments, meetings, conference calls, and event coordination while ensuring schedules remain organized and efficient.
- Coordinate team meetings, special projects, and administrative initiatives, preparing meeting materials and following up on action items as needed.
- Maintain electronic filing systems, administrative procedures, and operational documentation while identifying opportunities to improve workflows and efficiency.
- Deliver professional customer service through email and phone communications with clients, partners, and internal teams.
- Support light accounting activities, assist with office operations, coordinate with external vendors when required, and maintain strict confidentiality when handling sensitive information.
- Perform additional administrative duties as assigned while contributing to a collaborative and productive remote work environment.
- Minimum of 5 years of experience in an administrative support role within a virtual or remote office environment.
- College diploma required; additional education in Business Administration, Marketing, Communications, or a related field is preferred.
- Excellent written and verbal communication skills with outstanding organizational and time management abilities.
- Strong attention to detail, analytical thinking, and data entry accuracy.
- Ability to prioritize multiple assignments, meet deadlines, and work independently with minimal supervision.
- Experience handling confidential information with professionalism and sound judgment.
- Proficiency with Microsoft Office Suite; working knowledge of QuickBooks is considered an asset.
- Strong customer service mindset with excellent interpersonal and problem-solving skills.
- Fluency in both English and French is required; Spanish or additional languages are considered an asset.
- Comfortable using standard office technology and troubleshooting basic technical issues in a remote environment.
