Administrative Assistant

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Administrative Assistant based in the United States.

In this highly visible administrative role, you will provide comprehensive support to senior leadership while ensuring the smooth day-to-day operation of key business activities. You will coordinate schedules, manage documentation, oversee travel and expense processes, and facilitate communication across multiple teams. Success in this position requires exceptional organizational skills, sound judgment, and the ability to manage confidential information with professionalism. Working in a collaborative and fast-paced environment, you will play a critical role in improving operational efficiency and supporting strategic initiatives. This remote position also offers occasional travel and opportunities to contribute to process improvements while working with modern digital tools and technologies.

Accountabilities:
  • Provide high-level administrative support to executive leadership, ensuring efficient coordination of calendars, meetings, communications, and daily operational priorities.
  • Manage training records, qualification documentation, presentations, and other business-critical materials while maintaining organized and compliant records.
  • Coordinate travel arrangements, expense reporting, purchase requisitions, office supplies, and inventory management to support departmental operations.
  • Support organizational initiatives such as contract transitions, cross-functional coordination, security clearance processes, and employee scheduling requirements.
  • Plan and execute meetings, corporate events, and departmental activities, including logistics, vendor coordination, and on-site support when required.
  • Prepare, edit, and distribute reports, presentations, correspondence, and other business documents with a high level of accuracy and professionalism.
  • Serve as a central point of contact for internal and external stakeholders, responding to inquiries and facilitating effective communication across teams.
  • Identify opportunities to improve administrative processes, embrace digital tools including AI-enabled solutions, and maintain strict confidentiality when handling sensitive information.
Requirements
  • High School diploma or GED required; extensive administrative support experience in a professional business environment.
  • Minimum of 10 years of relevant administrative or executive support experience.
  • Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint, along with strong computer and internet research skills.
  • Proven ability to manage multiple priorities, adapt to changing deadlines, and work independently with minimal supervision.
  • Excellent organizational, problem-solving, and time management skills with exceptional attention to detail.
  • Strong written and verbal communication skills and the ability to interact professionally with executives, colleagues, vendors, and external partners.
  • Experience preparing reports, presentations, financial documentation, travel arrangements, and administrative records.
  • Ability to handle confidential information with discretion and maintain a high level of professionalism.
  • Comfortable learning and using new technologies, including AI-based tools, to improve efficiency.
  • Willingness to travel approximately 15% as needed.
  • U.S. citizenship required with the ability to obtain and maintain a DOE or DOD security clearance.
