About This Position
Position SummaryThe Accounts Payable Coordinator at Grimco is a key member of the Accounting team, responsible for ensuring the accurate and timely processing of vendor invoices, payments, and expense reimbursements. This role plays a critical part in maintaining strong vendor relationships, supporting internal teams, and ensuring financial accuracy and compliance. The Accounts Payable Coordinator must be highly detail-oriented, organized, and comfortable working in a fast-paced, high-volume environment while adhering to company policies and procedures. This role is based at Grimco Corporate in Richmond Hill, with scheduled hours of 8:30am – 5:00pm, Monday through Friday.Key Responsibilities
Invoice Processing: Review, verify, and process vendor invoices for accuracy, including matching invoices to purchase orders and contracts.Payment Management: Ensure timely remittance of payables through electronic transfers (ACH, wire), cheque payments, and other approved payment methods.Vendor Relationships: Establish and maintain professional relationships with vendors; respond promptly to payment inquiries and resolve discrepancies.Policy & Compliance: Adhere to company policies, procedures, and internal controls related to accounts payable and financial reporting.Account Reconciliation: Reconcile accounts payable transactions, investigate variances, and resolve outstanding balances.Vendor Maintenance: Maintain and update vendor records, including new vendor setup and ongoing data accuracy.Expense Reporting: Review and process employee expense reports in accordance with company policy.Documentation & Recordkeeping: Maintain complete, accurate files and documentation in line with accepted accounting practices.Month-End Support: Assist with month-end and year-end close activities, including accruals and reconciliations related to accounts payable.Reporting & Analysis: Generate accounts payable reports (e.g., aging, payment schedules) and provide analysis as required.Cross-Functional Collaboration: Work closely with Purchasing, Warehouse, and other Accounting team members to ensure timely and accurate invoice processing.Audit & Tax Support: Assist with preparing documentation and responding to requests for audits and tax filings.Process Improvement: Identify opportunities to improve accounts payable workflows and recommend efficiencies. Qualifications3+ years of accounts payable experience in a fast-paced environment.Experience with integrated accounting systems and/or ERP software.Strong understanding of three-way matching payment verification.Post-secondary degree or equivalent from an accredited college or university (final-semester applicants welcome).Proficient in MS Office Suite, internet navigation, and financial systems.Strong organizational skills with exceptional attention to detail.
