Description:

DC Engineering is seeking a highly organized, detail-oriented, and proactive Project Administrator to support our growing Controls Department. This role provides critical project administration, project financial administration, purchasing, and operational and administrative support to help ensure the successful execution of industrial projects.

The ideal candidate thrives in a fast-paced environment, enjoys working with detailed information, and can effectively manage multiple priorities while maintaining a high level of accuracy. This position requires a strong combination of administrative, organizational, financial, and communication skills.

About the Role

As the Project Administrator, you will work closely with project managers, engineers, vendors, clients, and internal stakeholders to support project setup, purchasing activities, project financial administration, billing support, and project documentation. You will serve as a key resource within the Controls Department by maintaining accurate records, coordinating project-related activities, supporting procurement efforts, and helping ensure projects move efficiently from initiation through completion.

While the primary focus of this position is project administration and project financial support, the role offers opportunities to support broader department operations, administration activities, reporting initiatives, and process improvement efforts as business needs evolve.

Key Responsibilities

  • Create, maintain, and update project records, project documentation, and client information within company systems.
  • Support project setup activities, including project creation, project folder management, client setup, and project administrative maintenance.
  • Assist with purchasing and procurement activities, including purchase order creation, tracking, vendor coordination, and status follow-up.
  • Process vendor invoices, credit card documentation, and other project-related financial records while ensuring accuracy and completeness.
  • Maintain project financial data and support billing-related activities, including invoice preparation, invoice distribution, reporting, and collections support.
  • Review reports and project information for accuracy, identify discrepancies, research issues, and coordinate resolutions with project teams.
  • Gather, organize, and maintain project documentation and supporting records throughout the project lifecycle.
  • Assist with proposal preparation, document formatting, and other business development support activities.
  • Communicate professionally with project managers, engineers, vendors, clients, and internal stakeholders to obtain information, resolve issues, and support project needs.
  • Generate, maintain, and update reports using Excel and other company systems.
  • Provide administrative and operational support for the Controls Department, including departmental reporting, travel coordination, special projects, process improvement initiatives, and other activities that contribute to the department’s overall success, as needed.
Requirements:

Required:

  • 2+ years of experience in project administration, project coordination, accounting support, billing support, purchasing support, or a related role.
  • Demonstrated ability to manage detailed information with a high degree of accuracy.
  • Strong organizational skills with the ability to prioritize multiple competing deadlines.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint.
  • Intermediate Excel skills, including filtering, sorting, data review, and report maintenance.
  • Ability to learn and navigate multiple software systems and databases.
  • Strong problem-solving skills and the ability to research and resolve discrepancies.
  • Adaptability and willingness to take on new responsibilities as business needs evolve.

Preferred:

  • Experience supporting engineering, construction, consulting, industrial, manufacturing, or project-based environments.
  • Experience with purchasing, purchase orders, procurement tracking, invoicing, billing, accounts payable, accounts receivable, or project accounting processes.
  • Experience working within ERP, project accounting, project management, or business management software systems.
