The Impact You Will Make

The Talent Acquisition Coordinator plays a key role in supporting the full recruitment and onboarding lifecycle. This high-visibility position serves as the first point of contact for candidates and hiring managers, ensuring a professional and positive experience at every stage. Working primarily within Paylocity, our ATS and HRIS, the Coordinator manages system updates, onboarding logistics, compliance documentation, and communication to keep hiring processes running smoothly. This role requires strong organizational skills, attention to detail, and the ability to build productive relationships across the organization

Essential Duties and Responsibilities:

  • Maintain and update the Paylocity ATS, ensuring candidate records, job postings, and recruitment data are accurate and current
  • From an Onboarding perspective, serve as the primary point of contact for candidates and hiring managers, providing timely communication and support throughout the hiring process
  • Own new hire onboarding documentation and task management, ensuring all required forms are completed accurately and on time; track completion in Paylocity, send reminders, troubleshoot access issues, and follow up on outstanding items
  • Coordinate and facilitate New Hire Orientation, including scheduling sessions, sending invitations, tracking attendance, and delivering orientation content
  • Serve as the I-9 compliance administrator, scheduling and conducting Section 2 verifications via Teams, reviewing documentation for accuracy, resolving errors, and maintaining audit-ready records
  • Partner with hiring managers to ensure Day 1 readiness, including start date alignment, equipment, system access, and location-specific needs
  • Provide ongoing support to new hires, answering questions, clarifying documentation, and guiding them through the onboarding process
  • Monitor background check progress, including pre-adverse and adverse actions, to maintain awareness, track completion, and escalate issues as needed
  • Prepare and maintain reporting on onboarding completion, I-9 timeliness, and orientation attendance, identifying opportunities for improvement
  • Collaborate cross-functionally with TA, HR, and other teams to support hiring needs, improve processes, and maintain updated SOPs
  • Manage internal employee movements (promotions and transfers) from a Talent Acquisition perspective, ensuring proper ER eligibility, documentation, and process consistency
Requirements:
  • Minimum of 2 years of experience as a Talent Acquisition Coordinator or at least 1 year in a high-volume hiring role.
  • Proficiency with Applicant Tracking Systems (ATS) and/or HRIS platforms; experience with Paylocity preferred.
  • Working knowledge of onboarding processes, I-9 compliance, and background check procedures is a plus.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Excellent verbal and written communication skills, with the ability to interact effectively with candidates, hiring managers, and team members.
  • High attention to detail and commitment to maintaining accurate and compliant records.
  • Ability to handle confidential information with professionalism and discretion.
  • Must possess a valid Drivers License.
