Position Summary
The Executive Assistant provides high-level administrative and strategic support to senior leadership. This role serves as a trusted partner, helping ensure smooth day-to-day operations and enabling leadership to focus on strategic priorities. Reporting to the Senior Vice President of Business Development and the Senior Vice President, Quantum, this individual serves as a trusted partner, helping ensure smooth day-to-day operations and enabling leadership to focus on strategic priorities.
The ideal candidate has exceptional organizational skills, sound judgment, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Core Responsibilities:
Manage complex calendars, emails, and schedule meetings, travel, and logistics
Serve as a primary point of contact for internal and external stakeholders
Prepare, review, and organize correspondence, expense reports, presentations, and briefing materials
Track priorities, deadlines, and follow-ups on behalf of the executives
Coordinate meetings, including agendas, materials, minutes, follow-ups and action items
Handle confidential and sensitive information with discretion and professionalism
Support special projects, events, and cross-functional initiatives as needed
Support after events activities such as importing business cards into CRM and handling general follow-ups
Improve administrative processes and workflows for efficiency
Anticipate executive needs and proactively address issues
Qualifications and Experience
Bachelors degree or equivalent experience preferred but not required
Two years of experience supporting senior-level executives
Strong written and verbal communication skills
Exceptional organizational, time management, and problem-solving abilities
High level of professionalism, discretion, and emotional intelligence
Proficiency in Microsoft Office and Customer Relationship Management Tools (preferred)
Ability to work independently and manage competing priorities
Effective problem-solving and analytical skills to address complex challenges
Experience working with external partners and government entities a plus
