Executive & Personal Assistant to CEO
Location: Mokena, IL
Employment Type: Full-Time
Compensation: $55,000 - $70,000 (Based on Experience)
Position Overview
A growing commercial flooring company is seeking a highly organized, proactive, and trusted Executive & Personal Assistant to support the CEO in both professional and personal capacities. This individual will serve as a strategic partner, helping manage daily priorities, communications, scheduling, travel, follow-up items, and special projects.
The ideal candidate is detail-oriented, resourceful, highly confidential, and capable of anticipating needs before they arise. This role requires someone who can bring structure to a fast-paced environment, ensure critical tasks are tracked and completed, and help maximize the CEO's effectiveness and productivity.
Experience within the commercial flooring, construction, or related industries is preferred but not required.

Key Responsibilities
Executive Support
• Manage and prioritize email communications
• Coordinate and maintain a complex calendar of meetings, appointments, and events
• Prepare meeting agendas, take detailed notes, and track follow-up action items
• Draft professional correspondence, reports, presentations, and communications
• Organize and maintain files, records, and important documentation
• Act as a gatekeeper for incoming requests and communications
• Track deadlines, commitments, and key initiatives to ensure timely completion
• Help organize priorities and ensure important items do not fall through the cracks
• Assist with strategic projects and executive-level initiatives
• Serve as a trusted partner in helping the CEO stay organized, focused, and accountable
Business Operations Support
• Coordinate communication between executives, project managers, estimators, customers, vendors, and subcontractors
• Support project-related administrative functions as needed
• Assist with company events, meetings, and industry functions
• Help organize operational processes and improve efficiency
• Prepare reports and gather information to support business decisions
• Document ideas, action items, and initiatives discussed in meetings and assist with implementation
Personal Support
• Coordinate personal appointments and scheduling
• Arrange travel, accommodations, and itineraries
• Assist with personal errands and special projects as needed
• Manage confidential personal information with the highest level of discretion
Qualifications
• Previous Executive Assistant, Personal Assistant, Office Manager, Project Coordinator, Administrative Assistant, or similar experience preferred
• Commercial flooring, construction, or related industry experience is a plus
• Exceptional organizational and time management skills
• Strong written and verbal communication abilities
• Ability to prioritize competing demands in a fast-paced environment
• High level of professionalism, discretion, and confidentiality
• Strong attention to detail and follow-through
• Proficiency in Microsoft Office Suite, Outlook, Teams, and business software platforms
• Ability to work independently while anticipating executive needs
• Strong problem-solving skills and a proactive mindset
• Ability to confidently communicate with customers, vendors, subcontractors, and executive leadership
