Old House Hotel is seeking an Accounting Clerk III
The Accounting Clerk III (Accounting Administrative Assistant) is responsible for providing day-to-day accounting and administrative support to the Old House Hotel & Ohspa Accounting team. Working in alignment with the Hotel’s core values, operational standards, and established accounting procedures, this role supports the accurate and timely completion of key financial processes related to accounts receivable, reporting, reconciliations, and general accounting administration.
With a strong focus on integrity, confidentiality, and attention to detail, the Accounting Clerk III contributes to the efficient operation of the Accounting department by ensuring billings, payment processing, follow-up, documentation, and supporting reports are completed accurately and on schedule. Through a collaborative and service-focused approach, this position supports internal customers across the business and contributes to the overall financial health and performance of the property.
Duties and Responsibilities:
- Manages confidential and sensitive information with discretion, professionalism, and care.
- Prepares monthly accounts receivable billings from StaynTouch in accordance with established contracts and billing requirements.
- Ensures billing accuracy by confirming applicable room rates, taxes, exemptions, and required adjustments at the time of invoicing.
- Completes monthly billings according to approved schedules and contract terms.
- Records and applies payments accurately to invoices within established timelines and monthly cut-off requirements.
- Reconciles payments to invoice balances and investigates discrepancies to support accurate account management.
- Communicates with customers to resolve billing or payment discrepancies and completes adjustments as required.
- Follows up on overdue accounts and issues reminder statements based on established timelines and procedures.
- Escalates overdue billing concerns when required, collaborating with leaders to support timely resolution.
- Maintains accurate, organized, and up-to-date records related to accounts receivable activity and supporting documentation.
- Prepare monthly expense reports
- Prepare monthly maintenance billing reports from daily work report and organize tasks performed to correct organization for billing.
- Reconcile sales and catering reconciliations and payout of gratuities
- Responds to owner and realtor requests
- Prepares ad hoc reports, reconciliations, and supporting documentation as requested by the Controller.
- Completes other accounting and administrative duties as assigned based on business needs and departmental priorities.
Preferred Education & Qualifications:
- Minimum one (1) year of administrative experience, preferably in an accounting or finance environment.
- Strong proficiency in Microsoft Word, Excel, and related office and network systems.
- Demonstrated ability to prioritize tasks, meet deadlines, and maintain accuracy in a fast-paced environment.
- Strong analytical skills and consistent attention to detail.
- Excellent verbal and written communication skills.
- Strong internal customer service mindset, including problem-solving and professional collaboration.
