Reporting to the Controller, we are seeking a detail-oriented Accounting Clerk to support our day-to-day accounts payable and vendor management functions. This role is responsible for accurately processing invoices, purchase orders, and expenses, resolving discrepancies, and maintaining strong internal controls.As the successful candidate becomes established in the role, there will be opportunities to expand responsibilities based on performance and business needs.Primary Responsibilities
To start, the role will focus on:
- Capturing and entering Purchase Orders;TimberScan matching and, over time, processing TimberScan direct items;Retrieving invoices from vendor portals when not received by email;Managing vendor disputes and responding to inquiries;Processing employee expense reports and mileage claims;Setting up new vendors in the system;Maintaining and tracking Certificates of Insurance (COI) for subcontractors;
- Credit card reconciliations;EFT (Electronic Funds Transfer) runs;Managing remittances during team absences;Completed job invoice proofs;Cross-training across multiple functions to provide vacation and sick coverage;Dispatch backup support (following implementation of new systems and based on workload needs).

Our Must Haves
- Proficiency in Microsoft Office, with strong Excel skills (formulas, pivot tables, and interactive spreadsheets);
- Experience using Adobe Acrobat to convert, merge, and organize documents;
- Experience with AP/invoice management software (e.g., TimberScan) considered an asset;
- Experience with Sage 300, ServiceTitan, or QuickBooks Online considered an asset;
- Strong critical thinking and problem-solving skills;
- Self-motivated, adaptable, and willing to learn new systems and support various functions as needed.
