This role serves as a senior operational resource supporting wealth management and trust operations through advanced expertise, process oversight, and operational leadership.
The position focuses on managing complex trust activities, improving workflows, strengthening controls, and ensuring regulatory compliance.
You will act as a subject matter expert across trust systems, tax processing, reporting, and transaction management.
The role requires close collaboration with internal teams, vendors, auditors, and business stakeholders to resolve complex operational challenges.
You will contribute to strategic initiatives, system enhancements, and continuous improvement efforts that increase efficiency and reduce operational risk.

The Trust Operations Specialist III will oversee complex operational activities, provide technical guidance, and support the continuous improvement of trust and wealth management processes through the following responsibilities:
- Serve as a senior operational resource and subject matter expert for trust operations, fiduciary services, account administration, and operational systems.
- Review, approve, and resolve complex trust transactions, asset transfers, settlements, and account administration exceptions requiring advanced analysis and judgment.
- Support tax processing activities, including preparation and coordination of regulatory tax reporting requirements and resolution of reporting discrepancies.
- Monitor operational controls, review reconciliation exceptions, identify risks, and implement improvements to strengthen accuracy and compliance.
- Generate and analyze operational reports, metrics, and dashboards to identify trends, risks, and opportunities for process optimization.
- Coordinate responses for internal, external, state, and federal audits while supporting remediation efforts and compliance initiatives.
- Act as a subject matter expert for trust accounting platforms and collaborate with technology teams and vendors on system enhancements and upgrades.
- Lead or support department-wide and corporate initiatives, including process redesign, workflow improvements, and system implementation projects.
- Mentor and provide technical guidance to trust operations team members while supporting knowledge sharing and best practices.
- Perform root-cause analysis on operational issues and recommend sustainable solutions that improve efficiency and customer service.
- Apply professional judgment when using AI-enabled tools by validating outputs, maintaining accuracy, and following organizational AI policies.
The ideal candidate will bring extensive trust operations experience, strong analytical abilities, and the ability to manage complex financial processes while collaborating effectively with multiple stakeholders.
- High school diploma or equivalent required; Bachelor’s degree preferred.
- Trust School certification or CTFA designation preferred.
- Minimum of 7 years of banking experience with a focus on trust operations.
- Experience working with trust accounting systems and operational applications required.
- Experience with FIS AddVantage and wealth management platforms preferred.
- Strong knowledge of trust administration, fiduciary operations, tax reporting processes, and regulatory requirements.
- Ability to analyze complex operational issues, interpret procedures and regulations, and recommend effective solutions.
- Strong project management skills with experience supporting operational initiatives and system improvements.
- Excellent written and verbal communication skills with the ability to communicate effectively with internal teams, leadership, vendors, and external contacts.
- Strong interpersonal skills with the ability to build relationships and collaborate across departments.
- Proficiency with Microsoft 365 applications, including preparing reports, documentation, procedures, and presentations.
- Working knowledge of Microsoft Access or database-related tools preferred.
- Ability to quickly learn new systems, adapt to process changes, and support technology-driven improvements.
- Demonstrated professionalism, sound judgment, attention to detail, and ability to manage competing priorities.
- Ability to work Monday through Friday, 8:00 a.m. to 5:00 p.m., with occasional additional hours based on business needs.
