Behavioral Health Office Administrator

Position Summary:

The office administrator offers the opportunity to work in a dynamic, team-oriented environment that helps individuals overcome substance abuse addictions. The Medical Administrator is the first face and voice of the organization’s mission.

Education:

  • Bachelor's degree preferred – relevant job description will be considered.

Roles and Responsibilities:

  • Welcome and greet all patients in person and remote.

  • Verifies client information, takes vital signs and confirms reason for appointments.

  • Collects urine samples for analysis.

  • Obtains any necessary pre-authorizations.

  • Arranges for referrals to other providers.

  • Obtains Release of information signatures.

  • Answers in bound phone calls and projects a polite and professional manner, while using proper telephone etiquette and documentation of the call. Records phone messages and ensures they are received in a timely manner.

  • Schedules and cancels appointments.

  • Facilitates patient flow by notifying the providers of patient’s arrival, being aware of delays and communicating with patients and clinical staff.

  • Directs issues or potential issues to the designated administrator/provider.

  • Assist provider during appointments as needed.

  • Maintain confidentiality and comply with HIPPA laws.

  • Staff will need to demonstrate a high-level, broad understanding of MAT, Harm Reduction, Low Barrier/High Access, HIPAA, OSHA and safety practices, verbal de-escalation and crisis intervention.

  • Adhere to medical program policies and procedures.

  • Excellent time management and organizational skills.

  • Maintain a community contact list.

Skills/Qualifications:

  • Medical or behavioral health office experience (1 year required)

  • Multitasking

  • Being flexible due to office needs.

  • Telephone skills
