Position Summary:
The Administrative Assistant provides administrative and secretarial support for the DME Coordinator, Wheelchair Clinic Supervisor and Wheelchair Clinic staff. The Administrative Assistant also coordinates the Donated Equipment program under the supervision of the Wheelchair Clinic Supervisor. In addition to typing, filing and scheduling, this position is responsible for performing duties such as data entry, note-taking, invoicing, scanning/electronic filing, obtaining supplies, providing clerical support to staff, and special projects. The administrative Assistant also answers correspondence and assembles highly confidential and sensitive information. This position will provide front line customer service for employees, patients, volunteers, donors and visitors.
Position Requirements:
- Licensure/Certification/Registrations: None
- Education: Associates degree strongly preferred, High school diploma or equivalent required.
- Experience: 1–3 years of experience as an administrative assistant preferred; Experience with adaptive equipment requested.
- Skills & Abilities: Excellent organizational skills. Outstanding written and oral communication skills. The ability to work independently but also collaboratively as a member of a team. The ability to organize, prioritize and meet deadlines, while effectively managing multiple projects simultaneously. Ability to successfully handle multiple priorities, prioritize appropriately and manage frequent interruptions. Good problem-solving skills, detail-oriented and excellent follow-through. Ability to relate to persons of all ages and diverse backgrounds, skills and abilities. Ability to present self in a personable and professional manner. Must be able to successfully and effectively communicate with a variety of personnel. The ability to deal with diverse and confidential information with discretion and good judgment. Must have strong computer skills and proficient to advanced skill levels in Microsoft Office Suite products.
Essential Functions:
- Provide secretarial and administrative support to the DME Coordinator and wheelchair clinic supervisor and staff while maintaining a high degree of professionalism and confidentiality.
- Schedule appointments, manage the calendar, and assist the DME Coordinator with onsite paperwork processing, vendor progress reports, invoicing and other clerical duties.
- Provide clerical support to the wheelchair clinic supervisor and staff including electronic scanning, filing, calendar management, equipment and supply orders/receiving, data management, and maintaining equipment inventories.
- Serves as the primary point of contact for the donated equipment program: filtering physical donations to the correct recipients, maintaining accurate data tracking, and sending donation letters and files to internal and external sources.
- Interact via a variety of mediums, including phone, email and in-person, daily with staff, patients, families, volunteers, donors, other organizations, and the general public and serve as a resource and referral source.
- Receive/screen/make telephone calls maintaining high levels of customer service and professionalism and record messages for the department appropriately.
- Performing high level administrative support duties including preparation of presentations, communications, documents and spreadsheets; completing diverse and complex assignments with limited direction.
- Performing general office duties such as typing, flow of correspondence, requisition of supplies, maintaining office equipment and environment, , ensuring the availability of appropriate forms/paperwork, processing all mail, etc.
- Assist in resolving administrative issues by preparing reports, analyzing data, and identifying solutions.

Salary Range: $19.58/ Hour - $28.20/ Hour
