Position Overview

The Part-Time Administrative Assistant will provide administrative and operational support to the CSA team across accounting, human resources, sales, marketing, and operations. This position plays a key role in supporting day-to-day office functions, maintaining accurate records, assisting employees and customers, and ensuring smooth communication between departments.


Reporting Relationships

The Administrative Assistant is a part-time position reporting to the General Manager.


Essential Roles and Responsibilities

    Serve as the first point of contact within the company. Ensure efficient and accurate flow of information to facilitate business operations utilizing email, phone, Slack communication and taking minutes for company meetings

    Perform administrative functions while maintaining a high level of customer service - including answering general inquiry telephone calls and emails, checking voicemail, receiving visitors, scheduling appointments and collecting and distributing incoming mail

    Responsible for maintaining the organization and cleanliness of the office and shared staff areas

    Responsible for accounts receivable; work with sales and leadership teams to keep AR current as well as resolving AR issues with sales personnel and accounts. Perform daily bank deposits.

    Responsible for entering all staff expenses and invoices for payment

    Utilize company Encompass RAS software for various administrative tasks including creation of new customers, products and suppliers in encompass and entering customer orders

    Other duties as assigned


Qualification Requirements

Important Skills and Abilities

    Must be able to quickly adapt to the organization’s structure, policies and personnel to make administrative decisions, exercising independent judgment and discretion.

    Strong computer skills are a must, this includes working knowledge of Microsoft Office Suite (i.e. Word, Excel, and PowerPoint), and Google Drive (i.e. Docs and Sheets). Experience with Encompass or another enterprise software package is a plus. Must be comfortable working with emerging technologies.

    Excellent communication skills, including written, verbal, and nonverbal communications in primary language

    Math skills, thoroughness, and attention to detail in order to accurately count and report numbers.

    Strong troubleshooting skills, strong work ethic and ability to work within a team AND independently.

    Must have a sense of urgency, ability to multitask, and prioritize.


Position Type/Expected Hours of Work

This is a part-time, non-exempt position. Typical hours are 20–30 hours per week, Monday through Friday, with flexibility based on business needs. This position is eligible for overtime pay in accordance with applicable federal and state laws.


Required Education and Experience

    Two or more years of relevant work experience in an administrative support role.

    Experience in distribution, logistics, food and beverage, or wholesale environments is a plus.

    Associate's degree preferred but not required.

    Knowledge of craft beer and the beverage industry is a plus, but not required.

Hourly Range: $22–25, based on education and experience
