Join our dynamic team as the School Administrative Assistant serves as the central point of communication and organization within the school, supporting students, families, teachers and staff. This role ensures the smooth day-to-day operation of the school office while maintaining accurate records, assisting with student services, and coordinating key administrative functions.
Essential Job Functions (Responsibilities):
- Provide comprehensive secretarial and administrative support to the administration team and school office
- Prepare documents, reports, and correspondence for the administration team
- Maintain student attendance records and communicate with families regarding absences
- Manage volunteer and visitor sign-in procedures, student attendance sheets, and the school's main entrance
- Monitor electronic door security, maintain door access codes, and coordinate with the IT department as needed
- Maintain records and inventory of all school keys and access distribution.
- Coordinate annual student registration and maintain related records
- Organize, maintain, and update student records, including health, immunization, injury, evaluation, and field trip documentation
- Submit required immunization reports to the Health Department and maintain current certification requirements
- Administer daily student medications and maintain accurate records
- Maintain substitute teacher lists and related materials
- Post school announcements to the marquee
- Assist with emergency drills and maintain required records
- Prepare and distribute student transcripts and records requests, including those for graduating eighth-grade students
- Perform other duties as assigned by the administration team

Competencies, Qualifications, and Requirements:
- Be a fully initiated Catholic in the communion of the Catholic Church and intentionally living out the five precepts of the Church (CCC 2041–2043)
- Refrain from any conduct or lifestyle that would cause scandal or contradict Catholic doctrine or morals
- Basic proficiency with educational technology and digital platforms required
- Strong organizational and task management skills
- Ability to obtain and maintain required Archdiocese of Denver training and Safe Environment certification
- Must meet all employment requirements for a Catholic school setting
Education and Experience:
- Minimum of a high school diploma required
- Compliance with Safe Environment requirements
- Basic First Aid knowledge preferred - school will train
- Strong Computer Skills and ability to learn all new programs (familiarity with FACTS and Flocknote preferred)
- Spanish and English bilingual preferred
Physical Requirements:
- Requires lifting up to 40 pounds and carrying up to 40 pounds.
- Ability to execute appropriate safety and emergency procedures, including leading evacuations and providing basic first aid.
