SUMMARY OF POSITION:

General Duties and Responsibilities:
- Provides administrative support for the Executive Administrative Assistant through the preparation of written materials including composing, typing, reviewing, editing, and proofreading a variety of letters, memos, personnel items, reports, and statistical charts from notes which include information of a sensitive and confidential nature.
- Prepares and distributes Board packet documents in coordination with the Executive Administrative Assistant. Attends Board meetings and prepares minutes in their absence.
- Coordinates and schedules calendar events and meeting arrangements for the Deputy Chiefs, Division Chiefs, and other senior leadership.
- Coordinates travel arrangements for executive and senior leadership staff. Prepares expense reports and travel advance requests.
- Supports the Executive Administrative Assistant for the coordination of all District election activities, which include preparation and filing of all election related legal documents and meeting all required deadlines. Ensures that all election preparations and needed equipment are available for elections. Serve as Deputy Designated Election Official as appointed by the Board.
- Assists with Ambulance Membership Program, including new memberships, renewals, check deposits and accounting. Assists members with billing questions.
- Performs various special office project assignments, as required, involving a high degree of administrative skills and the ability to make decisions based upon a working knowledge of District policies and procedures.
- Researches, compiles, organizes and analyzes data for special projects or reports as assigned, ensuring completion by specified deadlines and in accordance with established goals and objectives. Assists in the preparation of comprehensive reports.
- Assists with the coordination of meetings, workshops, and other events, which may include hospitality, managing catering orders, set up and clean up.
- Composes and distributes meeting minutes.
- Works collaboratively with the Executive Administrative Assistant to maintain the District’s files and record systems according to District policy. Establishes and maintains administrative files including historical legal documents, board documents, resolutions, ordinances, contracts and agreements.
- Runs occasional errands to local stores or suppliers to procure items needed for meetings or headquarters inventory.
- As backup to the receptionist, generates, verifies and distributes incident and patient care reports according to District guidelines.
- Provides occasional relief coverage of the main front desk at Headquarters.
- Handles materials and information of a highly sensitive and confidential nature requiring the exercise of independent judgment, personal initiative, and strict confidentiality.
- Demonstrates proficiency with standard office equipment.
- Operates multi-line phones, printer, copier, and basic computer applications including word processing and spreadsheets.
- Performs typing, filing (physical and electronic), and copying activities. Assumes responsibility for correct spelling, punctuation, grammar, and format.
- May provide functional guidance to receptionist/clerical/administrative employees.
- May compile special periodic reports and compose non-routine correspondence.
- Maintains confidentiality of information consistent with applicable federal, state, District rules and regulations.
Education - Associate’s degree in Business or related field from an accredited college or university.
Experience- Minimum of four years or more of progressively responsible experience as an administrative assistant. Highly desirable to have prior administrative support experience with the fire service.

Equivalent education and experience may be considered if they are sufficient to successfully perform the essential duties and responsibilities of the job.
Desirable - Bachelor’s degree in Business or related field from an accredited college or university.
NECESSARY SPECIAL REQUIREMENTS: – Must be at least 21 years of age. Must possess and maintain a valid driver’s license and safe driving record for continued employment. New hires must, as a condition of employment, pass the following applicable pre-offer and post-offer/hire processes: oral board/s, reference checks, background checks including criminal background check, sex-offender registry, and driving record check.
