Job Description

Waypoint Detailed Delivery, a transportation and medical logistics company, is seeking a highly organized and dependable Human Resources Coordinator to support the day-to-day operations of the Human Resources Department.

The HR Coordinator will provide administrative support across the employee lifecycle, including employee files, onboarding, orientation, training and compliance tracking, recruiting support, employee communications, credential management, and general HR administration. This position requires strong attention to detail, confidentiality, follow-through, and the ability to manage multiple priorities in a fast-paced transportation environment.

The ideal candidate is organized, professional, responsive, and comfortable working with employees, managers, applicants, and outside vendors.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Employee Records & HR Administration

  • Maintain accurate and organized employee personnel files and HR records.
  • Conduct periodic employee file audits to ensure required documentation is complete and current.
  • File and scan employee paperwork and maintain electronic and physical records.
  • Track and maintain employee information in HR systems.
  • Assist with routine HR reports, spreadsheets, and data entry.
  • Maintain confidentiality of employee and company information.

Recruiting & Hiring Support

  • Provide administrative support throughout the recruiting and hiring process.
  • Assist with job postings and applicant tracking.
  • Coordinate interviews and communicate with candidates.
  • Assist with background checks, motor vehicle record checks, and other pre-employment requirements.
  • Prepare new-hire paperwork and onboarding materials.
  • Track completion of required pre-employment documentation.
  • Assist with employment offer and hiring documentation as directed by the HR Director.

Onboarding & Orientation

  • Coordinate new-hire orientation schedules.
  • Prepare orientation materials.
  • Assist with new-hire onboarding activities and documentation.
  • Prepare employee badges and other identification materials.
  • Ensure new employees receive required policies, forms, training information, and resources.
  • Track completion of onboarding requirements.

Training & Compliance

  • Track employee training completion and maintain training records.
  • Track expiring licenses, certifications, credentials, and other employee requirements.
  • Maintain accurate records related to employee qualifications and required documentation.
  • Assist HR management with internal compliance audits.

Employee Support & Engagement

  • Serve as a professional and helpful point of contact for routine employee questions.
  • Answer phone calls and assist in monitoring the Human Resources email inbox.
  • Assist employees with HR forms, documentation, and administrative requests.
  • Direct more complex employee relations, payroll, benefits, or policy matters to the appropriate HR team member.
  • Maintain professional communication with employees, supervisors, managers, and applicants.
  • Help ensure employees receive timely responses to HR-related requests.
  • Compile and distribute employee “Shout-Outs” to recognize employee accomplishments, exceptional service, milestones, and positive contributions to the organization.

General Office & Department Support

  • Track HR-related expenses and assist with expense documentation.
  • Monitor HR and administrative tickets or requests and ensure appropriate follow-up.
  • Maintain office supplies and assist with ordering as needed.
  • Take meeting notes and assist with meeting coordination.
  • Maintain calendars, schedules, and HR-related deadlines.
  • Assist with recruiting initiatives and other HR projects as assigned.
  • Perform other administrative duties and special projects as assigned by the HR Director.

QUALIFICATIONS

Required

  • High school diploma or equivalent.
  • Previous administrative, human resources, office management, or related experience.
  • Strong organizational and time-management skills.
  • Excellent attention to detail.
  • Ability to maintain confidentiality and handle sensitive employee information appropriately.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.
  • Ability to manage multiple tasks and deadlines with limited supervision.
  • Professional and customer-service-oriented approach when working with employees and applicants.

Preferred

  • Associate or bachelor's degree in Human Resources, Business Administration, or a related field.
  • Previous HR or recruiting experience.
  • Experience working in transportation, healthcare, logistics, or another regulated industry.
  • Familiarity withADP, applicant tracking, scheduling, orother HRISsystems.
  • Experience maintaining employee personnel files and compliance records.

  • Ability to work in a standard office environment.
  • Ability to sit, stand, walk, bend, and perform routine office activities.

  • Ability to occasionally lift and move office materials and supplies.
  • Regular and reliable attendance is required.

WORK ENVIRONMENT

This position operates primarily in an office environment and regularly interacts with employees, applicants, managers, and other members of the organization. The HR Coordinator must be able to work effectively in a fast-paced environment where priorities may change throughout the day.
