About the role

  • The Legal Assistant will play a critical role in supporting the attorney staff at The Mortgage Law Firm, focusing on the various stages of the Oklahoma foreclosure process from petition filing through property sale and subsequent eviction proceedings. Responsibilities include case management, light legal research, and extensive document preparation. This role provides general support to all attorneys, ensuring efficient progression of cases and adherence to legal protocols.

What you'll do

  • Assist attorneys in the preparation and filing of legal documents, including pleadings, motions, and orders.
  • Maintain case files ensuring that all relevant materials are organized and easily accessible.
  • Coordinate and schedule appointments, meetings, and court dates, communicating necessary information to all relevant parties.
  • Draft routine correspondence such as letters and emails, on behalf of the firm.
  • Manage client relationships, providing timely updates on case progress, and addressing client inquires or concerns.
  • Maintain strict confidentiality of sensitive client information and adhere to all ethical guidelines and standards set forth.
  • Collaborate with other support staff to ensure efficient and seamless office operations.
  • Communication through email, phone, fax in a prompt, clear, concise, and professional manner.
  • Additional responsibilities may involve coordinating communication between departments or teams, maintaining communication records, and staying up to date on relevant technology and tools to enhance communication efficiency.
  • Performs other related duties as assigned by management.

Qualifications

  • High school diploma or GED required.
  • Minimum of 3 years of experience in foreclosure or mortgage‑servicing operations.
  • Strong verbal and written communication skills, with the ability to clearly convey information to clients, colleagues, and leadership.
  • Demonstrated customer‑service skills, including professionalism, responsiveness, and the ability to resolve inquiries effectively.
  • Excellent organizational and time‑management abilities, with a proven ability to manage competing priorities and meet deadlines.
  • High attention to detail and accuracy, especially when reviewing documents and updating case information.
  • Strong problem‑solving and critical‑thinking skills, with the ability to assess complex situations and determine effective solutions.
  • Proficiency in Microsoft Word, Adobe Acrobat, Internet Explorer, and Microsoft Access, with the ability to learn additional technology platforms as required.
  • Ability to work independently and collaboratively within a fast‑paced, deadline‑driven environment.
  • Adaptability to changing client expectations, internal processes, and industry requirements.
