Job Description
Position Summary
The Executive Administrative Assistant provides high-level administrative and organizational support to RIM Alliance's executive leadership. This position is responsible for managing schedules, coordinating meetings and communications, preparing documents and reports, maintaining confidential information, and assisting with administrative projects.
The position requires a high level of professionalism, organization, discretion, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Essential Duties and Responsibilities
• Provide administrative support to executive leadership and assist with
day-to- day administrative needs.
• Manage executive calendars, appointments, meetings, and schedules.
• Coordinate internal and external meetings, including meeting rooms,
agendas, materials, and follow-up.
• Prepare, edit, format, and distribute correspondence, reports,
presentations, spreadsheets, and other documents.
• Prepare meeting materials, take notes or meeting minutes, and track follow-up
items and deadlines.
• Assist with travel arrangements, itineraries, reservations, and expense
documentation.
• Prepare summaries, reports, presentations, and other information to support
executive decision-making.
• Track important deadlines, projects, commitments, and action items.
• Coordinate communication between executive leadership, customers, vendors,
and other external contacts.
• Maintain organized electronic and physical files and records.
• Scan and maintain records for plane parts
• Assist with special projects and company initiatives as directed by executive
leadership.
• Maintain professional relationships with employees, customers, vendors, and
business partners.
• Exercise discretion when handling sensitive or confidential information.
• Provide backup administrative support to other departments as needed.
• Perform other duties and responsibilities as assigned.
Executive Support
The Executive Administrative Assistant is expected to anticipate administrative needs and help executive leadership remain organized and prepared. This includes preparing information for meetings, monitoring deadlines and commitments, coordinating follow-up, and ensuring important administrative matters receive appropriate attention.
Qualifications
Required:
• High school diploma or equivalent.
• Minimum of 5 years of administrative, executive assistant, office management,
or related experience.
• Strong organizational and time-management skills.
• Excellent written and verbal communication skills.
• Strong attention to detail and accuracy.
• Ability to maintain confidentiality and exercise sound judgment.
• Ability to manage multiple priorities and meet deadlines.
• Proficiency with Microsoft Office, including Outlook, Word, Excel, and
PowerPoint.
• Ability to work independently and as part of a team.
Preferred:
• Associate or bachelor's degree in business administration, management, or a
related field.
• Experience supporting senior-level or executive leadership.
• Experience preparing reports, presentations, and meeting materials.
• Experience coordinating projects or company events.
• Experience working in an aviation, manufacturing, or corporate environment.

Work Environment
This position primarily works in an office environment and requires regular interaction with executive leadership, employees, customers, vendors, and other business contacts.
The position may require occasional travel, attendance at company events or meetings outside normal business hours, and flexibility based on executive and business needs.
