Position Summary:
The Administrative Assistant, HR Support is responsible for supporting day-to-day administrative operations while providing coordination and assistance to People Operations initiatives. This role is primarily focused on administrative and office support, with opportunities to gain exposure to recruiting, onboarding, and employee-related processes over time. The ideal candidate is highly organized, proactive, and interested in building foundational experience that can lead to growth within Human Resources or People Operations, while contributing to a professional and well-run office environment.
Key Responsibilities:
Administrative and Office Support
- Provide general administrative support to leadership and cross-functional teams
- Manage calendars, scheduling, and meeting coordination as needed
- Coordinate logistics for meetings, events, and company activities
- Support expense reporting and administrative documentation
Office Operations
- Manage front office operations, including reception, visitors, and phone support
- Coordinate office services, supplies, and vendor relationships
- Handle incoming/outgoing mail, shipping, and deliveries
- Support facility coordination, including workspace organization, access, and office logistics
Additional Responsibilities
- Maintain organized physical and digital filing systems
- Support internal presentations and reporting as needed
- Assist with special projects and additional administrative or HR initiatives as needed
HR and People Operations Support
- Assist with interview scheduling and candidate coordination across teams
- Provide administrative support for recruiting activities, including job postings and applicant tracking
- Support HR systems (HRIS) data entry
- Manage employee engagement activities and internal communications
- Provide administrative support for HR projects, including training coordination and compliance-related tasks
- 1–3 years of experience in administrative or coordinator roles (exposure to HR or recruiting support is a plus)
- Associate’s degree or equivalent work experience (Bachelor’s preferred)
- Interest in Human Resources, People Operations, or Talent Acquisition
- Experience handling sensitive and confidential information with discretion
- Strong organizational skills with the ability to multitask and prioritize effectively
- Excellent written and verbal communication skills
- High attention to detail and strong problem-solving abilities
- Proficiency in Microsoft Office (Outlook, Excel, PowerPoint, SharePoint)
- Experience with HR systems (HRIS or applicant tracking systems) is a plus
- Self-motivated, dependable, and able to work both independently and collaboratively
