JOB DESCRIPTION

JOB TITLE: Administrative Assistant FLSA STATUS: Non-Exempt

DEPARTMENT: Administration

REPORTS TO: CEO/CFO

JOB SUMMARY:

ESSENTIAL JOB FUNCTIONS:

1. Monitors door security systems and ensure that all visitors sign at the front desk.

2. Manages corporate board and shareholder meeting minutes and planning.

3. Manages incoming/outgoing mail and faxes.

4. Maintains meeting calendar for CEO.

5. Assists with coordination of travel arrangements for executive staff.

6. Assists in corporate filings and compliance with respect to all entities within the Imperial Health Plan enterprise.

7. Assist with responding to state regulators with respect to all lines-of-business.

8. Creates, edits, and proofreads documents.

9. Acts as liaison with general counsel and tracks legal matters.

10. Proactively manages inventory for office and janitorial supplies.

11. Assists with distributing employee parking passes.

12. Manages inventory and janitorial and office supplies.

13. Any other duties or projects assigned.

14. Adheres to payroll policies and properly uses timekeeping system with minimal manual changes.

15. Adheres to Compliance Plan and HIPAA regulations.

16. Maintains regular and consistent attendance.

MARGINAL JOB FUNCTIONS:

1. Take on special projects as needed.

2. Performs other duties as assigned.

POSITION REQUIREMENTS:

EDUCATION/EXPERIENCE:

· College graduate and paralegal training.

SKILLS/KNOWLEDGE/ABILITY:

· Willingness and ability to read, write, speak, understand English and have the communications skills necessary to provide accurate information to members and staff.

· Willingness and ability to follow written and verbal direction in English.

· Willingness and ability to maintain appropriate level of confidentiality and privacy.
