Position Summary
The Payroll Specialist is responsible for ensuring accurate and timely payroll processing while maintaining compliance with all federal, state, and local regulations. This role partners closely with Human Resources, Finance, and managers to provide exceptional service to employees and safeguard the integrity of payroll data.
Key Responsibilities
- Process bi-weekly payrolls, ensuring employee wages, deductions, taxes, and adjustments are accurate and completed within established deadlines
- Review and maintain employee payroll information, including new hires, terminations, compensation changes, deductions, garnishments, direct deposits, and tax elections
- Maintain compliance with federal, state, and local wage and hour laws, payroll tax regulations, and company policies
- Serve as the primary point of contact for payroll-related questions, resolving issues professionally and maintaining a high level of customer service
- Perform payroll reconciliations, identify discrepancies, and work with HR and Finance to resolve issues before payroll is finalized
- Prepare payroll reports for Finance, HR, and leadership while assisting with internal and external audits and year-end activities, including W-2 preparation
- Ensure payroll and HRIS systems are updated with accurate employee data and recommend process improvements to increase efficiency and accuracy
- Maintain strict confidentiality of employee compensation and personal information while adhering to company security and privacy standards
Qualifications
- Associate's or Bachelor's degree in Accounting, Finance, Human Resources, Business, or related field preferred
- 3+ years of payroll processing experience
- Experience with HRIS and payroll systems (Rippling experience preferred)
- Strong knowledge of payroll taxes, wage and hour laws, and payroll compliance
- High attention to detail with exceptional analytical and organizational skills
- Advanced proficiency in Microsoft Excel and reporting tools
- Excellent customer service, communication, and problem-solving abilities
- Ability to manage multiple priorities while consistently meeting payroll deadlines
