Proposal Team Manager

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Proposal Team Manager based in Canada.

This role offers the opportunity to lead the proposal development function within a global organization focused on delivering impactful solutions to clients.
You will oversee the full proposal lifecycle, from strategy and planning through final submission, ensuring high-quality and compelling responses.
The position combines leadership, project management, writing expertise, and cross-functional collaboration.
You will guide a team of proposal professionals while partnering with internal stakeholders to create competitive business opportunities.
The ideal candidate will bring strong organizational skills, attention to detail, and the ability to manage multiple priorities in a deadline-driven environment.

Accountabilities:

The Proposal Team Manager will be responsible for leading the proposal development process, managing a team of proposal specialists, and ensuring submissions are strategic, accurate, and aligned with client expectations. This role requires strong leadership, communication, and operational skills to deliver successful proposal outcomes.

  • Lead the end-to-end proposal development process, from initial request review through final submission.
  • Ensure proposals meet client requirements, internal standards, deadlines, and quality expectations.
  • Manage, mentor, and support a team of proposal writers, coordinators, and subject matter experts.
  • Develop proposal strategies that effectively communicate value propositions and address client needs.
  • Review, edit, and improve proposal content to ensure clarity, consistency, accuracy, and persuasive messaging.
  • Coordinate with sales, marketing, finance, legal, and technical teams to collect required information and insights.
  • Establish and maintain proposal processes, best practices, and continuous improvement initiatives.
  • Monitor timelines and resources to ensure proposals are delivered efficiently and on schedule.
  • Identify opportunities to improve proposal workflows, collaboration, and overall team performance.
Requirements:

The ideal candidate is an experienced proposal professional with a strong background in managing complex proposal processes and leading teams. They should demonstrate excellent communication abilities, strong project management skills, and the ability to deliver high-quality work under pressure.

  • Minimum of 10 years of experience in proposal management or at least 5 years of experience in a leadership role.
  • Experience managing end-to-end proposal development processes in a professional services, healthcare, technology, or related environment.
  • Experience within the Employee Assistance Program (EAP) industry is an asset.
  • Strong project management, organizational, and prioritization skills.
  • Excellent written and verbal communication skills with strong attention to detail.
  • Experience managing multiple proposals and competing deadlines simultaneously.
  • Ability to collaborate effectively with cross-functional teams and senior stakeholders.
  • Proficiency with Adobe Creative Cloud, Microsoft Office Suite, and proposal management software.
  • Commitment to producing accurate, polished, and client-focused deliverables.
