Administrative Assistant

Huntersville, NC

About the Role:

The Administrative Assistant at our Huntersville, NC, location plays a crucial role in ensuring the smooth and efficient operation of daily office activities. This position is responsible for providing comprehensive administrative support to various departments, facilitating communication, and managing schedules to optimize workflow. The ideal candidate will be adept at handling multiple tasks simultaneously while maintaining a high level of accuracy and professionalism. By managing correspondence, organizing files, and coordinating meetings, the Administrative Assistant contributes significantly to the overall productivity and effectiveness of the team. Ultimately, this role supports the organization’s goals by enabling a well-structured and responsive administrative environment.

Summary

The Administrative Assistant provides comprehensive administrative, clerical, and basic human resources support to the Operations Manager and other staff members. This position manages day-to-day office operations, assists with weekly billing and accounting functions, supports recruitment and onboarding processes, and helps maintain employee records and compliance documentation.

Essential Functions

  • Administrative Support:
  • Answer incoming calls, direct inquiries, take messages, and ensure timely distribution.
  • Handle incoming and outgoing mail, including daily pickup and delivery to the post office.
  • Manage shipping tasks, including packaging, labeling, and sending UPS and FedEx shipments.
  • Order, stock, and organize office, kitchen, cleaning, and shipping supplies.
  • Maintain cleanliness and organization of office workrooms and kitchen areas.
  • Oversee and maintain office equipment (copiers, fax, postage machines); stock supplies and coordinate maintenance as needed.
  • Support internal and external communications, ensuring messages, emails, and faxes reach intended recipients promptly.
  • Assist with safety programs and maintain knowledge of facility permits and reporting requirements.
  • Provide administrative and financial billing support to the Marketing Department; maintain purchasing controls.
  • Code purchase orders and assist with financial accounting processes.
  • Collect, summarize, and submit payroll timesheets.
  • Human Resources Support:
  • Assist with job postings, application screening, and scheduling interviews.
  • Maintain and update employee personnel files and HR documentation.
  • Track and manage employee attendance, PTO requests, and other HR-related records.
  • Support HR compliance by helping prepare reports and maintaining required postings and notices.
  • Serve as a point of contact for basic employee inquiries regarding policies and benefits.
  • Perform other administrative and HR duties as assigned to ensure efficient office operations.

Physical Demands

  • Primarily a sedentary role involving sitting, typing, and viewing a computer.
  • Occasionally requires bending, lifting, and carrying office supplies or packages.

Preferred Education and Experience

  • High School Diploma or GED required; Associate’s or Bachelor’s degree in Business Administration, Human Resources, or a related field preferred.
  • 1–3 years of administrative assistant or HR support experience required.
  • Experience in transportation, logistics, or industrial environments is a plus.
