Position Description:
| Summary of Job Description |
| The Payroll Specialist is responsible for managing the end-to-end payroll process for Thermal Concepts, including weekly payroll processing, federal and multi-state tax handling, and timecard verification. This role requires a high level of accuracy, compliance with federal and state regulations, and proficiency in processing reimbursements. The Payroll Specialist will play a critical role in ensuring our employees are compensated correctly and on time, while also handling various tax and compliance requirements. |
| Essential Duties, Roles & Responsibilities |
- Payroll Processing: Execute weekly payroll processing for all employees, ensuring accurate and timely payment.
- Federal and Multi-State Tax Compliance: Handle federal tax reporting and filings, as well as multi-state tax processing, ensuring compliance with all relevant regulations.
- Timecard Verification: Review and verify employee timesheets for accuracy and compliance with company policies and procedures.
- Reimbursement Management: Process employee reimbursements, including verifying supporting documentation and ensuring compliance with reimbursement policies.
- Tax Documentation and Processing: Prepare, submit, and maintain payroll tax documents and ensure all tax liabilities are paid on time for all applicable states.
- Payroll Records Maintenance: Maintain detailed payroll records and ensure all payroll documents are organized, accurate, and accessible for reporting and audits.
- Compliance and Audits: Ensure all payroll practices align with federal, state, and local regulations and assist with internal and external payroll audits as needed.
- Employee Support: Provide support to employees with payroll-related inquiries, ensuring they understand their pay, deductions, and reimbursements.
Position Requirements:
| Qualifications, Education & Training |
- Education: High school diploma or equivalent required; associate or bachelor’s degree in accounting, Finance, or related field preferred.
- Experience: 2+ years of experience in payroll processing, preferably within an HVAC or construction-related environment.
- Knowledge of Payroll Systems: Proficiency in payroll software systems (experience with VISTA is a plus).
- Tax Knowledge: Familiarity with federal and multi-state payroll tax requirements.
- Detail-Oriented: Strong attention to detail with a high level of accuracy in processing payroll and handling sensitive employee information.

- Communication Skills: Excellent verbal and written communication skills to liaise with employees, management, and external agencies regarding payroll matters.
