Purpose:
- The Health Information Specialist is responsible for managing, safeguarding, and organizing client health records in accordance with federal and state regulations, including HIPAA and 42 CFR Part 2. This position ensures the accuracy, security, and confidentiality of client records, supports client requests for information, and collaborates with employees to uphold documentation standards and promote privacy awareness. The ideal candidate demonstrates strong professionalism, effective communication, and a proactive approach to education and compliance.
Accountabilities:
- Maintain and organize electronic and paper health records using the electronic health record.
- Process requests for release of information in accordance with HIPAA, 42 CFR Part 2, and organizational policies.
- Verify and update client information to include name changes, address, phone number, etc.
- Track record retention and destruction schedules as required by law and policy.
- Assist clients with understanding and accessing their health records in a respectful, trauma-informed, and confidential manner.
- Ensure proper documentation of client communication and requests.
- Respond to client and employee questions about privacy rights and record access with professionalism and clarity.
- Collaborate with departments to support timely and compliant documentation.
- Serve as a resource to the organization regarding privacy protocols and regulatory compliance related to documentation.
- Escalate issues to the manager that delay timely release of records.
- Assist in other front office duties as assigned.
Qualifications:
- High School diploma or GED equivalent.
- One + year experience using a Health Information database.
- Basic knowledge of medical terminology is preferred.
- Proficient working with Microsoft Office.
- Ability to maintain confidentiality of records and information.
- Exhibits the ability to work independently and to exercise independent judgement.
