Job Description

Introduction

Thermo King Western Inc. is seeking a skilled and detail-oriented Service Coordinator to support our growing TK Specialty Products / Heatmo division. This division provides sales, parts, installation, and service support for Thermo King APUs, Eberspächer heating systems, Red Dot heating and air conditioning products, and related service work.

This role is central to the day-to-day success of the division. The Service Coordinator will coordinate a team of 4–5 technicians, support parts and inventory flow, process invoices and warranty claims, and ensure customers receive timely, professional service.

Job Responsibilities

  • Schedule and coordinate service work for a team of 4–5 technicians.
  • Communicate with customers regarding appointments, job status, parts availability, and completion timelines.
  • Coordinate technician workflow to support efficiency, productivity, and customer satisfaction.
  • Create, update, and maintain service work orders.
  • Review completed work orders for accuracy prior to invoicing.
  • Prepare and process customer invoices.
  • Submit, track, and follow up on warranty claims with manufacturers and suppliers.
  • Coordinate parts requirements for service jobs and customer orders.
  • Support inventory control, including receiving, stocking, ordering, and maintaining accurate records.
  • Work closely with technicians, management, suppliers, and key customers to resolve issues and keep jobs moving.
  • Escalate scheduling, parts, warranty, or customer service concerns as needed.
  • Support continuous improvement initiatives within the division.
  • Foster a positive, professional, and organized service environment.

Skills & Qualifications

Required Skills

Preferred Experience

  • 2+ years of experience in service coordination, dispatching, parts, warranty, or shop administration.
  • Experience in transportation, trucking, HVAC, diesel, automotive, equipment, or mechanical service environments.
  • Experience with parts ordering, inventory control, and work order administration.
  • Experience processing warranty claims.
  • Familiarity with ERP or service management systems.
  • Knowledge of Thermo King, Eberspächer, Red Dot, or similar product lines would be considered an asset.
