This role sits at the center of a high-impact bid and proposal function, supporting the end-to-end management of RFPs, RFQs, and complex procurement responses. You will play a critical role in enabling commercial success by ensuring high-quality, compliant, and timely submissions that strengthen contract wins. Working closely with Sales, Contracts, Pricing, and cross-functional stakeholders, you will help coordinate large-scale, data-driven proposals across a global organization. The environment is fast-paced, detail-oriented, and highly collaborative, requiring strong coordination across multiple teams and deadlines. You will contribute directly to margin protection, pricing accuracy, and overall bid strategy. This position is ideal for someone who thrives in structured execution while managing complexity at scale and driving operational excellence.
- Manage the full lifecycle of RFP, RFQ, and bid processes from intake to final submission, ensuring accuracy, compliance, and on-time delivery across global and high-priority opportunities.
- Coordinate cross-functional inputs from Sales, Contracts, Pricing, Legal, and other stakeholders to build complete and competitive proposal responses aligned with business goals.
- Analyze RFP requirements, assess compliance criteria, and ensure all documentation meets customer and regulatory expectations while protecting commercial interests.
- Build, manipulate, and reconcile large datasets in Excel to support pricing validation, product mapping, margin analysis, and final proposal preparation.
- Facilitate RFP kick-off meetings, manage shared inboxes and workflows, track progress, and ensure deadlines are met across multiple concurrent bids.
- Support continuous improvement of proposal processes, including reporting win/loss outcomes, maintaining documentation standards, and supporting onboarding and training activities.
The ideal candidate has 3–5 years of experience in RFP management, bid coordination, sales operations, or procurement within a complex, cross-functional environment. A bachelor’s degree in business, marketing, or a related field (or equivalent experience) is required. You bring advanced Excel capabilities, including data manipulation, pivot tables, and lookups, along with strong proficiency in Microsoft Office tools. You are highly organized, detail-oriented, and comfortable managing multiple deadlines in a fast-paced setting. Strong communication and stakeholder management skills are essential, along with the ability to collaborate across global teams. Familiarity with contracts, pricing structures, and business or procurement language is highly valued. A proactive mindset, analytical thinking, and the ability to work both independently and collaboratively will set you apart.
