Payroll Tax Specialist

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Payroll Tax Specialist based in the United States.

The Payroll Tax Specialist will support accurate and compliant payroll tax operations across federal, state, and local jurisdictions. This role plays an important part in ensuring tax registrations, payments, filings, agency communications, and client requests are handled efficiently and accurately. Working in a fast-paced payroll and HCM environment, you will collaborate with internal teams, clients, and government agencies to resolve tax-related issues and maintain compliance. The position combines technical payroll tax knowledge with strong customer service, research, and administrative skills. You will manage multiple priorities while maintaining detailed records and ensuring documentation remains complete and up to date. The ideal candidate is detail-oriented, organized, responsive, and comfortable interpreting regulatory requirements and applying established processes. Accountabilities:
  • Prepare and submit tax identification applications for federal, state, and local tax agencies.
  • Create, review, and coordinate Power of Attorney (POA) documentation.
  • Contact clients to support agency access, registrations, approvals, and other payroll tax requirements.
  • Communicate directly with federal, state, and local agencies to obtain guidance and resolve account-related issues.
  • Research payroll tax questions and provide accurate, timely responses to clients and internal stakeholders.
  • Support tax payments, filings, registrations, account maintenance, and other payroll tax compliance activities.
  • Maintain accurate client files, communication records, tax documentation, and supporting materials.
  • Monitor and manage multiple requests and priorities while meeting established deadlines and service expectations.
  • Partner with payroll, HCM, accounting, and other internal teams to support accurate payroll processing and tax compliance.
  • Follow documented procedures, regulatory requirements, and internal quality standards when handling client and agency requests.
  • Provide professional and responsive customer service across all client interactions.
  • Participate in special projects, process improvements, and other activities supporting the broader payroll tax function.
Requirements:
  • Associate’s degree in Accounting, Finance, Business Administration, Human Resources, or a related field, or an equivalent combination of education and professional experience.
  • Basic knowledge of payroll, accounting, taxation, or compliance principles.
  • General understanding of business entity structures and tax classifications, including corporations, partnerships, LLCs, and sole proprietorships.
  • Ability to understand how different business structures affect payroll tax registration and compliance requirements.
  • Previous experience in customer service, client support, administration, payroll, accounting, or a related professional environment.
  • Strong attention to detail and a consistent commitment to accuracy.
  • Excellent written and verbal communication skills, with the ability to communicate professionally with clients, colleagues, and government agencies.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities in a fast-paced environment.
  • Ability to research information, analyze tax-related issues, and identify appropriate solutions.
  • Ability to learn, interpret, and apply federal, state, and local payroll tax regulations and compliance requirements.
  • Ability to independently follow established processes while collaborating effectively with a broader team.
  • Proficiency with Microsoft Office and common business technology tools.
  • Experience supporting payroll operations or payroll tax administration is preferred.
  • Familiarity with federal, state, and local payroll tax requirements is advantageous.
  • Experience with payroll, HCM, or accounting software platforms is a plus.
  • Experience with tax registrations, agency correspondence, or account maintenance is preferred.
  • Call center or client service experience is beneficial.
  • Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) certification is a plus.
