Overview

We are seeking a proactive, detail-oriented Business Operations Assistant to support our company president and management team. Responsibilities

Key Responsibilities

  • Provide administrative support to the President, including scheduling, travel coordination, and meeting logistics.
  • Assist with project coordination across departments, helping track progress and follow up on action items.
  • Support the President’s professional social media presence (LinkedIn, Instagram, etc.) by creating and scheduling content aligned with company branding.
  • Draft and edit internal and external communications.
  • Help plan and organize company events, meetings, and special projects.
  • Maintain confidentiality and handle sensitive information with professionalism.
  • Respond to client inquiries and support customer service efforts as needed.
  • Use Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) to prepare documents and presentations.
  • Leverage AI tools (e.g., ChatGPT, Grammarly, Canva, etc.) to streamline tasks, enhance communication, and support project execution.
  • Other duties as assigned.

Qualifications

Qualifications

  • 1–3 years of experience in an administrative, communications, or project support role.
  • Strong written and verbal communication skills.
  • Familiarity with social media platforms and basic content creation.
  • Proficiency in Microsoft Office Suite.
  • Experience using AI tools to assist with writing, research, organization, or design.
  • Highly organized with the ability to manage multiple tasks and deadlines.
  • Positive attitude and willingness to learn.
  • Ability to work well with team members at all levels.
  • Mortgage industry experience is a plus but not required.

Preferred Skills

  • Experience with tools like Smartsheet, Zendesk, or similar project/customer service platforms.
  • Interest or background in the mortgage or financial services industry.
  • Commitment to professionalism, confidentiality, and continuous improvement.
  • Curiosity and initiative in exploring new technologies and digital tools.
