Collections Specialist – Job Description

Job Summary

A Collections Specialist is responsible for monitoring accounts receivable, contacting customers to collect overdue payments, and resolving billing issues. This role requires strong communication, negotiation, and problem-solving skills to ensure timely payment while maintaining customer satisfaction.

Key Responsibilities

• Monitor customer accounts to identify outstanding debts and overdue payments
• Contact customers via phone, email, or written communication to collect payments
• Negotiate payment plans and settlements when necessary
• Investigate and resolve billing discrepancies or disputes
• Maintain accurate records of collection activities and customer interactions
• Ensure compliance with company policies and legal regulations (e.g., FDCPA)
• Collaborate with accounting and sales teams to resolve account issues
• Prepare reports on collection status and aging accounts
• Escalate unresolved accounts when necessary

Required Skills & Qualifications

• High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
• Proven experience in collections, accounts receivable, or customer service
• Strong communication and negotiation skills
• Attention to detail and problem-solving abilities
• Ability to handle difficult conversations professionally
• Proficiency in accounting software and Microsoft Office (especially Excel)
• Knowledge of collection laws and regulations is a plus
