Overview

The Account Coordinator supports day-to-day facilities operations by reviewing, processing, and managing work orders across internal and client-facing work order systems. This role ensures accuracy, timely follow-up, and clear communication with internal teams, subcontractors, vendors, and clients.

This position is critical to maintaining service excellence through strong attention to detail, proactive tracking of work progress, and accurate reporting of operational activity.



Responsibilities

What you'll do:

  • Review incoming work orders in internal and client systems for accuracy, completeness, and required scope details
  • Enter, update, and maintain work orders in accordance with company standards and procedures
  • Monitor client work order portals for new requests, updates, comments, and required actions
  • Prioritize and assign work orders based on urgency, SLAs, and client expectations
  • Track work orders through the full lifecycle from creation to completion across all systems
  • Ensure all required documentation (photos, notes, completion details, approvals) is properly captured and uploaded
  • Communicate with field teams, subcontractors, and vendors regarding scheduling, status updates, and job clarification
  • Proactively follow up on outstanding, aging, or overdue work orders to ensure timely resolution
  • Generate daily, weekly, and monthly operational reports on work order performance and SLA compliance
  • Maintain dashboards, logs, and reporting tools to ensure operational visibility and accuracy
  • Provide status updates, performance insights, and operational summaries to Account Managers and leadership
  • Support client communication efforts as needed, including service updates and status reporting
  • Assist with special projects, urgent service requests, and operational escalations
  • Maintain accurate and organized records of all work order activity and account documentation
  • Other duties as assigned or requested


Qualifications

What We’re Looking For

  • 1–3 years of experience in facilities services, operations coordination, dispatch, or administrative support
  • Experience working with work order management systems or client service platforms preferred
  • Strong attention to detail with a high level of accuracy in data entry and documentation
  • Excellent communication skills with a strong follow-up and accountability mindset
  • Ability to manage multiple priorities in a fast-paced, deadline-driven environment
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Teams)
  • Strong customer service orientation with the ability to collaborate across teams and stakeholders

Preferred Experience

  • Background in facilities services, janitorial, maintenance, or vendor-managed environments
  • Experience with SLA tracking, subcontractor coordination, or service delivery operations
  • Exposure to reporting, analytics, or operational performance dashboards
  • Understanding of the full work order lifecycle in a service-based environment

Physical Requirements:

Applicants for this role must be able to:

  • Lift boxes and packages weighing up to 60 pounds
  • Lift, bend, squat, and stretch to move boxes, parcels, and shipments
  • Climb small to medium flights of stairs multiple times a day
  • Standing for extended periods of time
  • Working conditions may consist of extreme exposure to heat/cold weather conditions, involving both indoor and outdoor tasks
  • Occasional exposure to hazardous environments and conditions might be experienced
