Role Overview
We’re looking for an experienced Executive Assistant to support our Executive Chairman, CEO and executive leadership team. This role is best suited for someone who knows how to work closely with senior executives, stays calm under pressure, and brings a high level of professionalism to everything they do.
This is a high-trust role. You’ll manage complex schedules, travel, communications, expenses, and day-to-day coordination for executives who move quickly and work across multiple time zones and business relationships.
The right person is organized, sharp, discreet, and proactive. You should be comfortable making judgment calls, handling sensitive information, and keeping things moving without needing a lot of direction.
Key ResponsibilitiesExecutive Support- Manage complex executive calendars across multiple time zones
- Coordinate domestic and international travel, including detailed itineraries and last-minute changes
- Keep executives prepared for meetings, partner calls, events, and travel
- Support the preparation and refinement of executive presentations, PowerPoint decks, and briefing materials
- Track priorities, deadlines, follow-ups and action items
- Help manage scheduling conflicts and shifting priorities with good judgment and discretion
- Serve as a point of contact between executives and internal or external stakeholders
- Draft and manage professional communications and meeting materials
- Coordinate meetings with global partners and the board
- Assist with translation and cross-cultural communication support when needed
- Maintain confidentiality and professionalism in all communications and business matters
- Prepare agendas, presentations, briefing materials, meeting notes and minutes
- Coordinate leadership meetings, offsites, and planning sessions
- Help keep projects and conversations organized across the executive team
- Support day-to-day administrative and operational coordination as needed
- Manage executive expense reporting, reimbursements, and financial documentation with accuracy and discretion
- Coordinate expense reconciliation and supporting documentation for external partners
- Oversee invoice submissions, approvals, and payment tracking for executives
- Maintain organized financial records and ensure timely processing of reimbursements and related administrative workflows
- Coordinate travel logistics, conference attendance, partner meetings, and executive appearances
- Support executive preparation for industry events and international travel
- Assist with planning executive offsites and company gatherings
- 8+ years of experience supporting senior executives or C-level leadership
- Experience working in a high-level Executive Assistant, Executive Administrator, or similar role
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Strong judgment and ability to handle confidential information professionally
- Experience managing complex calendars, travel, expenses, and executive communications
- Comfortable operating independently in a fast-paced remote environment
- Good experience with either Microsoft PowerPoint or Google Slides
- Proficiency with Google Workspace, Slack, Zoom, Microsoft Office, and related productivity tools
- Experience supporting executives in gaming, entertainment, media, or technology
- Experience working with startup or founder-led teams
- Experience coordinating international meetings and partnerships

The pay range for this role is:
130,000 - 150,000 USD per year(Greater Los Angeles Area or Greater Bay Area, CA)
