Job Description
Do you want to make a difference in the lives of families facing homelessness? Door of Hope is seeking a highly organized, proactive Executive Assistant (EA) to support our CEO and Development Team in mission-critical work.
Reporting to the Chief Executive Officer (CEO), the EA is responsible for ensuring a well-functioning, organized, and proactive office environment. This role owns core office operations, basic accounting, and IT coordination and support, allowing program and leadership teams to focus on mission delivery.

Hours
- 40 hours/week, occasional overtime
- 4 days in-person, 1 day from home (preference will be considered, but not guaranteed?as schedule is based?on office coverage?needs)
Responsibilities
Donor Engagement Execution & Coordination
- Execute on donor engagement plans by ensuring all CEO/CDO-donor touchpoints are scheduled, prepared, coordinated, tracked and followed through with excellence.
- Draft and coordinate donor communications on behalf of CEO/CDO.
- Conduct and coordinate prospect research and donor briefings to support effective engagement.
Board Coordination
- Lead coordination of board meetings, including scheduling, logistics, materials, communication, and follow-through.
- Draft board reports and communication on behalf of CEO.
Administrative Coordination & Leadership Support
- Manage up to CEO and CDO, proactively tracking next steps and ensuring no commitments or opportunities stall.
- Capture meeting notes and translate them into clear next steps, ensuring accountability and forward momentum.
- Coordinate CEO’s staff and community engagement and support organization-wide initiatives.
- Manage expense reporting, scheduling, technology needs and administrative workflows to remove friction and maximize leadership effectiveness.
Systems, Tracking & CRM Coordination
- Build and maintain systems that support donor engagement and workflow efficiency.
- Track donor interactions and next steps in partnership with CRM/database functions.
- Partner closely with CRM/database management to ensure accurate tracking and strong pipeline visibility.
Qualifications
- 3–5+ years supporting senior executives.
- Exceptional written communication skills.
- Strong organizational, project management and people skills.
- High discretion with confidential information.
- Excellent computer skills including MS Office Suite.
- Experience with CRM systems preferred (Salesforce).
- Design savvy and experience with Canva and PowerPoint preferred.
Compensation & Benefits
Expected compensation: $29-34/hour, depending on experience
