Job Description
Communication Technology Services, CTS, is one of the largest integrators and managed service providers for mobile networks in the U.S. The company specializes in the design, installation and support of Distributed Antenna System (DAS), Small Cell, and 4G/5G Private Wireless Networks for the mobile network operators, enterprise and venue owners and network infrastructure owners. We are seeking an Administrative Assistant to support our growing business in our Southern California office in Corona, CA.
This is an office-based position providing construction administrative support to the Southern CA region. It works closely with the Project Managers & Field Managers.
The ideal candidate will have 3–5 years of experience as an office administrative assistant or administrator is required.
Administrative Assistant
Responsibilities:
- Compile and build closeout documentation for construction projects
- Review and process all testing documents
- Review pictures and create PDF
- Create Sweep Metrix/ Cable Routing Reports
- Safety – create safety folders for each project, attend safety meetings and track attendance and maintain safety-training records.
- Support construction billing processes, including invoice preparation, change order tracking, cost reconciliation, and maintaining accurate billing and financial records
- Manage union and hourly payroll, ensuring compliance with labor agreements and union bylaws
- Assist with maintaining and updating Sitetracker project data
- Assist in field requests as they come in (Lift Rentals, Equipment Rentals)
- Assist in the AT&T project tracking in various databases
- Maintain job folders in ShareFile and upload any documentation required
- Maintain Subcontractor Purchase Orders (POs) process
- Travel Arrangements
- Other duties as assigned
Qualifications:
- 3–5 years of experience as an administrative assistant or office administrator
- High School Diploma required; Associate's or Bachelor's degree preferred
- Strong proficiency in MS Word, Excel, PowerPoint, and Outlook
- Experience with union/prevailing wage payroll and certified payroll reporting preferred
- Familiarity with construction billing and change order processes a plus
- Excellent verbal and written communication skills
- Highly organized and detail-oriented with the ability to manage multiple priorities
- Positive, can-do attitude with the ability to work independently and as part of a team
