Position Title: Human Resources Support Coordinator

Reports to: Human Resources Director, with accountability to the CFO for assigned payroll and finance-related responsibilities.

Location: Hybrid-Remote with the ability to travel to the location.

Hours: Flexible, 25 – 28 hours/week - This position offers flexibility in scheduling and work location; however, the employee must consistently meet the operational demands, timelines, and service needs of the organization and employees. Flexibility is expected to align with business priorities, deadlines, and responsiveness requirements.

Status: .6 - .7 FTE, Non-Exempt, 25-28 Hours/Week

Starting Wage Range: $26.00 - $30.00/hour

Position Summary

The HR Support Coordinator requires a high degree of professionalism, communication, accountability, and mutual respect when providing operational and administrative support across Human Resources, payroll, and business functions to help ensure the organization's efficient day-to-day operations. This role is responsible for coordinating a variety of HR processes, supporting employee lifecycle activities, serving as backup support for payroll administration, and assisting with finance- and operations-related projects as assigned.

The HR Support Coordinator requires strong organization skills, attention to detail, discretion with confidential information, and the ability to manage multiple priorities while providing responsive and professional internal support.

Requirements:

Essential Functions of Successful Job Performance

  • Provide support for HR initiatives, Finance functions, audits, compliance activities, and departmental projects.
  • Assist with preparing and processing employment-related documents.
  • Coordinate, monitor, and oversee all employee background clearances in accordance with organizational policies, contractual requirements, funding source expectations, and applicable regulations through the hire process.
  • Ensure all employees maintain required background clearances, certifications, and compliance documentation throughout employment, including tracking renewal deadlines, re-screening requirements, and follow-up actions as required by the organization and contract.
  • Maintain accurate and organized employee personnel files in compliance with organizational policies, contractual requirements, and applicable regulations, ensuring personnel records are complete, current, and appropriately documented
  • Assist with scheduling onboarding appointments, orientations, and employee meetings as needed.
  • Support recruitment activities by posting positions and assisting with extending and tracking position offers.
  • Maintain HR databases, spreadsheets, and tracking logs to ensure accurate employee information and compliance documentation.
  • Provide backup support for payroll processing, including assisting with timekeeping reviews, payroll changes, and coordination with Finance to ensure accurate and timely payroll administration, as well as assisting with program/software improvements.
  • Monitor and support credit card program compliance by reviewing transactions, ensuring proper documentation and coding, and assisting with adherence to organizational policies and audit requirements.
  • Must demonstrate integrity, accountability, and professionalism in in-office and remote work by accurately documenting time worked, maintaining productivity during scheduled hours, remaining responsive and available, and ensuring honest reporting of work activities and job performance.
  • Attend and participate in supervision meetings, staff meetings, agency training, and professional training and conferences as required, and seek out opportunities for professional development.
  • Assist with special projects and other duties as assigned to support operational and organizational needs.

Background and Qualifications:

  • High school diploma or equivalent required; associate degree in Human Resources, Business Administration, or related field preferred.
  • 3 years of experience providing human resources support is required.
  • Certifications: SHRM, PHR, CPP preferred
  • Experience and proficiency with Microsoft Office applications, and using payroll and HRIS/timekeeping systems are required. Experience with Adobe Pro's advanced features is a plus, but not required.
  • 5+ years of direct payroll experience in a multi-state or mid-sized organization, with a working knowledge of payroll compliance requirements, including wage-and-hour laws and tax withholding regulations, required.
  • Experience supporting finance functions such as reconciliations, reporting, journal entries, and audit preparation, along with knowledge of accounting and program/general ledger structures, is a plus.
  • Non-Profit experience is highly preferred.
  • Strong organizational skills and attention to detail are required
  • Ability to prioritize tasks, manage deadlines, and adapt to changing operational needs.
  • Requires a private, secure workspace and reliable internet access to perform the job.

Background Checks: This position is subject to successful completion of background investigations as required by contract and applicable law, which may include but are not limited to state and federal criminal history checks, fingerprint-based checks, child/adult protective services registry checks, and other required program-specific or funding-source clearances. Continued employment is contingent upon maintaining required clearances throughout employment.

Compensation: The hiring pay range is $26.00- $30.00 per hour. The starting hourly wage is based on a step system. A candidate’s starting pay is determined by meeting the basic position requirements and current completed education, credentials, and work experience. Please note: The step system is set and not open to pay negotiation.
