Bilingual Assistant Director, Mortgage Taxes & Advances

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Bilingual Assistant Director, Mortgage Taxes & Advances based in Canada.

This role offers the opportunity to support critical mortgage operations within a dynamic financial services environment.
The successful candidate will help ensure accurate, compliant, and efficient processing of mortgage-related transactions and administrative activities.
You will collaborate with internal teams and external stakeholders to improve workflows, resolve issues, and deliver a high-quality client experience.
The position combines operational oversight, quality control, reporting, and process improvement responsibilities.
You will contribute to maintaining strong controls, managing risks, and supporting strategic initiatives that enhance business performance.

Accountabilities:

The role is responsible for supporting mortgage operations by ensuring accurate processing, compliance with procedures, and effective collaboration across business teams. The position requires strong attention to detail, the ability to manage multiple priorities, and a commitment to delivering reliable operational support.

  • Execute and oversee critical operational processes related to mortgage administration, including tax payments, advances, transactions, service requests, and loan maintenance activities.
  • Support timely and accurate completion of operational activities while meeting established service level agreements, policies, and procedures.
  • Review, verify, and reconcile loan information, documentation, and transactions to ensure accuracy and completeness.
  • Monitor operational performance, identify issues, and coordinate resolution or escalation when required.
  • Manage mortgage tax and advance-related activities while maintaining strong knowledge of processes, controls, and regulatory requirements.
  • Conduct quality reviews, transaction verification, and internal audits to identify opportunities for improvement.
  • Prepare and maintain productivity, quality, and operational performance reports.
  • Collaborate with internal teams and external stakeholders to address requests, resolve discrepancies, and improve service delivery.
  • Support process improvements, system enhancements, and operational change initiatives.
  • Provide guidance and problem-solving support to less experienced team members when needed.
  • Contribute to the development of training materials, tools, and documentation that improve operational effectiveness.
  • Apply risk management principles to daily activities while ensuring compliance with applicable policies, regulations, and business standards.
Requirements:

The ideal candidate brings experience in mortgage operations, financial services, or related administrative functions, combined with strong analytical capabilities and excellent communication skills. This role requires someone who can work independently, manage priorities effectively, and collaborate with multiple stakeholders.

  • 3 to 5 years of relevant professional experience, ideally within mortgage operations, banking, financial services, or a related field.
  • Post-secondary education in a relevant discipline or an equivalent combination of education and experience.
  • Strong knowledge of mortgage products, processes, operational controls, and regulatory requirements.
  • Experience with mortgage taxes, advances, loan administration, or related banking operations is preferred.
  • Experience conducting audits, quality reviews, transaction verification, or process calibration activities.
  • Experience preparing productivity, quality, and operational performance reports.
  • Previous experience supervising or supporting team members is considered an asset.
  • Strong proficiency with Microsoft Office tools, including Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills in both French and English, with the ability to support clients and team members across Québec and other regions.
  • Strong analytical, problem-solving, and decision-making skills with the ability to identify root causes and recommend solutions.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Ability to collaborate effectively with internal teams, external partners, and business stakeholders.
  • Ability to influence, communicate recommendations, and support continuous improvement initiatives.

  • Competitive salary range of approximately CAD $45,500 to $84,500, depending on experience, skills, qualifications, and location.
