Proposal Team Manager

This position is posted by Jobgether on behalf of a partner company. We are currently looking for a Proposal Team Manager in Canada.

This role sits at the heart of a fast-paced, client-facing proposal function where strategy, storytelling, and precision come together to win new business opportunities. You will lead the full lifecycle of proposal development, ensuring submissions are compelling, compliant, and aligned with client needs. Working in a highly collaborative environment, you will coordinate across sales, marketing, legal, finance, and subject matter experts to shape high-impact responses. In addition to managing delivery, you will guide and mentor a team of proposal professionals, fostering quality, consistency, and continuous improvement. The role requires strong project leadership, attention to detail, and the ability to balance multiple priorities under tight deadlines. This is an opportunity to directly influence business growth while elevating the quality and efficiency of the proposal function.

Accountabilities
  • Lead the end-to-end proposal development process, from initial request through to final submission, ensuring accuracy, compliance, and alignment with client requirements.
  • Manage, coach, and support a team of proposal writers, coordinators, and subject matter experts to deliver high-quality, persuasive submissions.
  • Develop proposal strategies that clearly communicate value propositions and address specific client needs and business objectives.
  • Oversee quality assurance by reviewing, editing, and refining proposal content for clarity, consistency, and impact.
  • Coordinate cross-functional collaboration with sales, marketing, finance, legal, and technical teams to gather insights and required inputs.
  • Ensure all proposals are delivered on time, meeting internal standards and external deadlines.
  • Identify and implement process improvements to enhance efficiency, scalability, and overall proposal effectiveness.
  • Maintain strong organization and oversight across multiple concurrent proposals in a deadline-driven environment.
Requirements
  • Minimum of 10 years of experience in proposal management or at least 5 years in a leadership role within a similar function.
  • Experience in Employee Assistance Programs (EAP) or related health, wellness, or services sectors is considered an asset.
  • Strong project management skills with the ability to manage complex, multi-stakeholder initiatives.
  • Excellent written and verbal communication skills, with the ability to craft clear and persuasive business narratives.
  • Proven ability to lead and develop teams in a high-performance, deadline-driven environment.
  • Strong proficiency in Microsoft Office Suite, Adobe Creative Cloud, and proposal management tools.
  • High attention to detail with a strong commitment to quality and accuracy.
  • Ability to manage multiple priorities simultaneously while working effectively under pressure.
  • Strong collaboration skills and ability to engage with cross-functional stakeholders at all levels.
  • Strategic mindset with the ability to translate client needs into compelling proposal solutions.
