Program Coordinator

This position is posted by Jobgether on behalf of a partner company. We are currently looking for a Program Coordinator in Canada.

This is an excellent opportunity for a highly organized and detail-oriented professional to support dynamic sales and marketing initiatives within a fast-paced retail media environment. In this role, you will coordinate the execution of in-store and digital advertising programs while serving as a key connection point between clients, sales teams, and internal departments. You will play a critical role in ensuring campaigns are delivered accurately, on schedule, and aligned with client expectations. The position offers exposure to cross-functional collaboration, campaign management, and client relationship coordination in a rapidly evolving industry. Accountabilities:
  • Coordinate the execution of in-store and digital advertising campaigns following client approval and contract finalization.
  • Act as a liaison between clients, sales teams, and internal departments to ensure smooth communication and successful program delivery.
  • Lead meetings and status calls with internal stakeholders and external clients to review timelines, deliverables, and campaign requirements.
  • Manage program timelines and ensure all execution materials, approvals, and deliverables are completed according to established deadlines.
  • Collect, organize, and present executional and operational data to support sales presentations and campaign planning activities.
  • Review invoices and payment details for accuracy, particularly regarding non-standard payment terms and contractual agreements.
  • Follow up with clients regarding invoice receipt and payment processing while escalating overdue accounts when necessary.
  • Proactively coordinate campaign implementation details including artwork specifications, store lists, deliverable tracking, and timeline management.
  • Support the overall success of advertising programs by maintaining strong organization, communication, and follow-through across multiple concurrent projects.
Requirements:
  • 2–3 years of experience in program coordination, account management, sales support, or a related client-facing administrative role.
  • Strong organizational skills with exceptional attention to detail and the ability to manage multiple priorities simultaneously.
  • Experience supporting sales teams or working within collaborative, fast-paced business environments.
  • Proficiency with Microsoft Office applications, particularly Excel, including functions such as VLOOKUPs and Pivot Tables.
  • Familiarity with Salesforce or CRM platforms is considered an asset.
  • Excellent communication and interpersonal skills with the ability to build professional relationships across teams and clients.
  • Ability to work independently, prioritize effectively, and adapt quickly within changing environments.
  • Strong problem-solving abilities and commitment to maintaining accuracy under tight deadlines.
  • Comfortable managing campaign coordination activities and balancing competing timelines in a remote work environment.
