JOB SUMMARY: The Human Resources Assistant provides administrative support to the Human Resources Department in areas including recruitment, onboarding, employee records management, payroll support, and internal communications. This position helps ensure efficient HR operations, accurate documentation, compliance with organizational policies, and a positive employee experience.
DUTIES AND RESPONSIBILITIES:
Recruitment & Onboarding
- Post job openings on internal and external job boards and assist with recruiting activities, including job fairs and community outreach events.
- Schedule interviews and maintain communication with applicants regarding interview status and next steps.
- Assist with resume screening and candidate tracking.
- Serve as a point of contact for candidates in the absence of the Talent Acquisition Specialist and facilitate interviews as needed.
- Prepare onboarding materials and ensure all required employment documentation is completed and uploaded into the HRIS system.
- Create user accounts and assist with onboarding logistics, including orientation scheduling, attendance tracking, welcome materials, ID badges, and proxy cards.
- Coordinate employee offboarding activities, including separation documentation, file updates, and collection of company property.
Payroll & HR Support
- Assist with reviewing employee timecards for completeness and accuracy and escalate discrepancies as appropriate.
- Support attendance tracking and maintain related logs and spreadsheets.
- Manage payroll-related inquiries and assist with employee reimbursements and holiday pay verification as needed.
- Respond to routine employee questions regarding HR policies, payroll, benefits, and employment-related matters.
- Maintain accurate employee records in the HRIS system and ensure personnel files are organized, complete, and confidential.
- Monitor expiration dates for employee licenses, certifications, training requirements, and other required documentation.
- Identify urgent, sensitive, or high-risk employee issues and escalate them to the Human Resources Manager or Employee Relations & Legal Specialist.
- Conduct routine audits of employee files and HR records to ensure documentation is complete, accurate, and compliant with organizational requirements.
Administrative Duties
- Provide administrative support to the Human Resources Department, including filing, scanning, document management, and data entry.
- Maintain the HR department email inbox and route communications to the appropriate team members.
- Draft and distribute HR-related communications, reminders, announcements, and policy updates.
- Assist with HR audits, compliance activities, and special projects.
- Prepare HR reports, spreadsheets, presentations, and tracking logs as requested.

Other Duties:

- Maintains the confidentiality of Hope Christian Health Center employees, contractors, volunteers, and patients.
- Attends and actively participates in staff meetings.
- The Human Resource Assistant ensures compliance with all 19 Health Resources and Services Administration (HRSA) Health Center Program Requirements.
- The Human Resource Assistant is also expected to actively participate in and support quality improvement activities and the clinical practice team efforts emphasizing the importance of the individual patient and putting the patient’s needs first.
- Perform other duties and responsibilities as assigned.
Qualifications:
- Proficiency in Microsoft Office - required
- Strong attention to detail – required
- Minimum one year of previous HR experience - preferred
- Experience with Paylocity - preferred
- Experience working in healthcare – preferred
Education:
- High school diploma or equivalent - required.
- Associate or bachelor’s degree in human resources or a related field - preferred

TYPICAL PHYSICAL DEMANDS:
Occasional standing, walking, reaching, kneeling, bending, stooping, pushing, pulling, and lifting and/or moving up to 25 pounds. Frequent sitting. Manual dexterity. Ability to travel to various locations.
