Are you organized, dependable, and someone who enjoys making people feel welcome? Hughes Dental Group of Okatie is looking for a patient-focused Dental Front Desk Coordinator who takes pride in their work and wants a practice to call home.

Our practice is part of Vision Dental Partners, a group of dental practices committed to high-quality patient care and strong team collaboration. You’ll play an important role in our Okatie team, helping patients feel welcome, supporting your coworkers, and keeping daily operations running smoothly.

The front desk sets the tone for the entire visit. We’re looking for someone who builds relationships with patients, keeps the details organized, and consistently follows through for both patients and teammates.

Your Role & Responsibilities

  • Greet patients warmly and help them feel comfortable and welcome.
  • Answer calls professionally, respond to patient questions, and follow through on messages and requests.
  • Schedule and confirm appointments, manage the office calendar, and proactively help fill schedule openings.
  • Assist with patient intake and maintain accurate patient and insurance information.
  • Verify insurance benefits and process claims to support accurate and timely billing.
  • Explain treatment costs, estimated patient responsibility, payment plans, and financing options clearly and respectfully.
  • Collect payments and assist patients with billing questions.
  • Maintain accurate patient records and protect confidential information in accordance with HIPAA requirements.
  • Communicate with dental providers and the clinical team to keep the day organized and patients informed.
  • Participate in morning huddles and help identify scheduling needs and priorities.
  • Introduce new patients to the office and team.
  • Keep the front desk and reception area clean, organized, and welcoming.
  • Assist with additional administrative responsibilities as needed.

  • A warm, professional approach: Help patients feel welcome and handle questions or concerns with patience, courtesy, and discretion.
  • Strong organization and attention to detail: Keep appointments, paperwork, payments, and follow-up accurate and organized.
  • Ownership and follow-through: Complete responsibilities, follow through on commitments, communicate when help is needed, and take initiative when something needs attention.
  • Clear communication and teamwork: Share information promptly, work respectfully with others, and contribute to a positive office environment.
  • The ability to manage a busy front desk: Prioritize competing needs while staying focused, professional, and attentive to patients.
  • Computer skills and a willingness to learn: Be comfortable using computers, learning practice management software, and applying feedback.
  • Dentrix Practice Management Software experience preferred: Familiarity with Dentrix for patient scheduling, insurance information, billing, and maintaining patient records is a plus.

Dental experience is preferred. Experience with dental scheduling, insurance verification, patient billing, and treatment coordination is especially helpful. We also welcome applicants with strong customer service or administrative experience who bring dependability, professionalism, and a willingness to learn.
