Job Description
The Clinic RN/Office Coordinator is responsible for coordinating the daily clinical support functions of the outpatient clinic back office to ensure smooth workflow, timely prior authorizations, provider support, and efficient patient care delivery. This role works closely with providers, nursing staff, medical assistants, and front office personnel to maintain operational efficiency and continuity of care.
The RN serves as the central point of coordination for prior authorizations, referrals, durable medical equipment (DME), clinical supplies, and provider workflow support. This position helps ensure providers have the necessary resources, equipment, and support needed for safe, efficient, and high-quality patient care.
Essential Duties and Responsibilities:
Back Office Coordination
Coordinates daily back-office operations to support efficient clinic workflow and patient throughput
Assists with patient rooming flow, provider schedules, and clinical support processes
Works collaboratively with front office and clinical staff to reduce delays and improve patient access
Identifies workflow barriers and helps implement process improvements
Supports consistent clinic operations across all provider schedules
Prior Authorizations and Referrals
Coordinates prior authorizations for medications, imaging, procedures, specialty referrals, and treatments
Ensures authorization is completed accurately and timely to prevent delays in care
Communicates with providers, insurance companies and referral departments regarding authorization requirements
Assists with denial management and appeals as needed
Tracks pending authorizations and follows up to ensure completion
Provider Support and DME Coordination
Works directly with providers to ensure exam rooms, clinical supplies, and DME needs are met
Coordinates ordering and availability of DME, specialty supplies, and clinical equipment needed for patient care
Assists with vendor communication and supply tracking as appropriate
Helps maintain provider efficiency by ensuring resources are available and operational needs are addressed
Supports provider workflow needs related to procedures, follow-up care, and treatment planning
Clinical Documentation and EHR Support
Supports accurate clinical documentation and workflow management within the EHR
Assists with order coordination, referral tracking, and follow-up communication
Ensures proper documentation for payer compliance and quality reporting
Helps troubleshoot workflow issues related to EHR processes and provider needs
Quality and Compliance
Maintains compliance with clinic policies, payer requirements, and regulatory standards
Participates in workflow improvement initiatives and quality monitoring
Assists with tracking operational metrics such as authorization turnaround times and referral completion
Supports patient satisfaction through timely coordination of services and reduced delays in care

Requirements:Education
Graduate of an accredited School of Nursing
Associate Degree in Nursing required, Bachelor of Science in Nursing (BSN) preferred
Licensure
Current unrestricted RN license in the State of Missouri
Experience
Minimum of 2-3 years of nursing experience required
Outpatient clinic, ambulatory care, or physician practice experience preferred
Experience with prior authorizations, referrals, and payer processes strongly preferred
Experience with DME coordination preferred
Experience with EPIC EHR preferred
Certifications
BLS required
