Provider Recruitment Coordinator

JOB SUMMARY

The Recruitment Coordinator is responsible for coordinating the activities of several departments that are involved in the recruiting, onboarding and off-boarding of Memorial Physicians and Advance Practice Providers. This requires close working relationships and coordination of activities with MMA, HR, IT, Employee Health, Medical Staff Office, Marketing and Business Development, Facilities, Administration and other departments as necessary.

This position must possess considerable skill in coordinating a complex process that spans several departments. Requires the ability to socially interact with and engage a diverse group of providers and their spouse, partner and/or children and be able to articulate the benefits of living in the Memorial Healthcare service area. This position follows provider candidates through the hiring and onboarding process to ensure all steps are completed in timely, efficient and customer focused manner. Requires flexibility in work schedule to accommodate needs of potential candidates. Strives for superior performance by consistently providing a product or service to leadership and staff that is recognized as ultimately contributing to the patient, family or employee experience.

PRIMARY JOB RESPONSIBILITIES

  1. With direction from the CEO and Executive Leadership team, utilizes the Medical Staff Development plan, develop a recruitment strategy to meet market and open position needs.
  2. Develop strong relationships and partner with the hiring manager to ensure job requirements and expectations are clearly understood and candidates are assessed against appropriate criteria. Develop tools and processes to simplify and streamline recruitment practices.
  3. Maintain relationships with all departments involved in practitioner onboarding, including, but not limited to: recruiting, human resources, medical staff services, physician relations, marketing, employee health and IT. The role will also acts as a liaison for all the departments to facilitate and support the recruitment, interviewing, and onboarding process.
  4. Demonstrate knowledge of sales, interviewing techniques, a complete understanding of the organizational structure, as well as, an extensive knowledge of operations, personnel policy and procedure and federal and state laws regarding employment practices.
  5. Meet regularly with Memorial Healthcare leadership to identify open positions.
  6. Manage the full cycle recruiting process from requisition set up, drafting job ads and posting through sourcing, developing and negotiating the offer, immigration needs and onboarding.
  7. Generate a candidate pool through sourcing activities, such as; cold calling, digital media, referrals, database sources, internet sites, mailings, college recruitment, community network events, etc. to ensure a continual pipeline of high quality, excellent candidates.
  8. Ensure timely communication with candidates, hiring managers and vendors on the recruiting process and pending needs.
  9. Create and maintain applicant tracking system with accurate and detailed information and provide routine reports to the hiring manager on status of process.
  10. Connect with local residency programs to socialize provider opportunities at Memorial Healthcare.
  11. Responsible for public speaking at both internal and external events regarding the organization and its service lines.
  12. Responsible for ensuring opportunity posts are current, the sourcing of provider candidates and assistance with coordination of site visits, itineraries, travel arrangement, meetings, luncheons and dinner, daycare, realtors, payment of expenses and follow up correspondence.
  13. Provide candidate tracking reports as necessary.
  14. Assist in the development of collateral materials.
  15. Interact with potential sources of new providers including professional search firms, contingency firms, medical schools and residency programs, etc.
  16. Coordinate organizational tours for potential candidates and appropriate information related to Memorial.
  17. Coordinate appropriate activities, tours and information for the candidate’s family members to show the advantages of living in the Memorial Healthcare service area.
  18. Assist in on-boarding process for selected providers to ensure a smooth transition through the credentialing process, help providers get settled into their office space and family living space.
  19. Manage external vendor recruitment contracts and provides assistance with securing Locums as requested.
  20. Participate in development of annual recruiting budget.
  21. Stay current on recruitment trends and continuously researches new and innovative recruitment methods.
  22. Demonstrate knowledge of and supports hospital mission, vision, value statements, standards, policies and procedures, operating instructions, confidentiality statements, corporate compliance plan, customer service standards, and the code of ethical behavior.

JOB SPECIFICATIONS

EDUCATION

  1. Bachelor’s degree in related field, marketing, business, public relations or health related field.

EXPERIENCE

  1. Minimum of two years previous recruitment experience preferred
  2. Proven experience sourcing passive candidates preferred
  3. Minimum of two years healthcare experience preferred or other similar customer service driven industry
  4. Must be able to work independently and prioritize projects and candidates, many times working on a multitude of projects simultaneously.

ESSENTIAL PHYSICAL ABILITIES/MOTOR SKILLS

  1. Requires flexibility in hours worked. Will require ability to work evenings and some weekend hours based on convenience of potential candidates.
  2. Able to travel independently throughout all Memorial Healthcare facilities.
  3. Small motor skills required for operating modern computer, office, and telephone equipment as utilized by Memorial Healthcare (MHC).
  4. Requires travel throughout the state of Michigan and out of state when required.
  5. Ability to lift a minimum of 25 pounds from floor to waist, load and unload boxes of recruitment materials from office to car.

ESSENTIAL TECHNICAL ABILITIES

  1. Proficiency using modern office, computer and telephone equipment as used by Memorial Healthcare.

ESSENTIAL MENTAL ABILITIES

  1. Ability to adapt and maintain focus in fast paced, quickly changing or stressful situations.
  2. Ability to read and interpret a variety of documents including, but not limited to policies, operating instructions, white papers, regulations, rules and laws.

ESSENTIAL SENSORY REQUIREMENTS

  1. Able to see for the purpose of reading information received in formats including but not limited to paper, computer, reports, bulletins, updates, manuals.
  2. Able to hear for work-related purposes.

  1. Ability to interact with co-workers, hospital staff, administration, patients, physicians, the public and all internal and external customers in a professional and effective, courteous and tactful manner, at all times, physically, verbally and in all written and electronic communication.
  2. Required to remain calm when adversity is encountered.

  6. Ability to clearly communicate and articulate, using sales techniques in the recruitment process.
