About This Position
Background:
We are seeking a detail-oriented and dependable AR/AP & Compliance Clerk to support our finance team in maintaining accurate AR/AP financial records, co-managing vendor relationships, and ensuring financial compliance documentation is kept up-to-date. The ideal candidate has strong attention to detail, great communication skills, and thrives in a collaborative, mission-driven environment.
Responsibilities:
Accounts Payable (AP):
- Receive, code, and process vendor invoices through Ramp
- Match POs, receipts, and payment approvals
- Manage payment runs (ACH, check, or card)
- Track credit memos and outstanding balances
- Ensure timely payments to vendors, flag urgent items
- Work collaboratively on special projects that help increase efficiency, reduce costs or improve overall company performance
- Mentor payables -assigned Circle Business Support colleagues, assign tasks and review work, providing regular coaching and feedback
Accounts Receivable (AR):
- In collaboration with VP Sales, prepare and send customer invoices based on contracts or fulfillment
- Monitor accounts for late payments and follow up with clients
- Monitor sales reports and maintain AR aging reports
- Support collections process in coordination with VP Sales
- Reconciliation & Reporting:
- Assist with month-end close by reconciling AP/AR accounts and responding to Ramp questions from Accounting team
- Provide AP/AR status reports to Finance Director
- Help with audit prep and documentation
- Vendor & Internal Communication:
- Serve as a co-liaison with vendors and internal team members
- Resolve discrepancies and invoice disputes
- Maintain accurate and organized documentation (W-9s, ACH forms, vendor agreements)
Light Compliance Support:
- Track vendor compliance items (W-9s, Certificates of Insurance, ACH authorization forms)
- Ensure proper classification and documentation for NMTC- or grant-funded expenses
- Organize audit-ready folders for lending partners and internal reviewers
Requirements:
- Eagerness to learn and adapt to evolving systems and responsibilities
- Flexibility to support different tasks across finance and compliance workflows
- Bookkeeping, AP/AR, or finance admin experience
- Familiarity with accounting software (QuickBooks Online preferred)
- Experience using Ramp, Bill.com, or similar systems a plus
- Highly organized and deadline-driven
- Good written and verbal communication
- High School diploma required; college or professional coursework in accounting/finance preferred
