The Email & Communications Specialist sits within Marketing Operations (Shared Services) and serves as the central hub for all email and text communications across every workstream: Patient Marketing, Provider Lifecycle, Marketing Operations, Sales, and Operations. This is not a siloed execution role. You will work directly with stakeholders across the business — including Sales and Pharmacy Operations — to align communication timing, message consistency, and automation performance with real business outcomes.
You will own the review and approval process end-to-end: setting deadlines, chasing down stakeholders, and holding the line so sends go out on time and on-brand. This role supports every team that sends — and that means you’re constantly coordinating across the organization. Stakeholders include:
- Patient Marketing — brand campaigns, patient education, adherence, and storytelling
- Provider Lifecycle — own and execute the full provider email program: product launches, quarterly and seasonal promotions, prescriber education, webinar support, ABM-aligned sequences, and loyalty and winback programs
- Marketing Operations — field marketing, events, M&A outreach, and corporate storytelling
- Sales — aligning email and text cadences with outbound sales efforts to avoid message collision and maximize conversion
- Pharmacy Operations — coordinating operational communications (refill reminders, onboarding, process updates) that affect both patients and internal teams
You will maintain a master communications calendar that provides full visibility across all workstreams and surfaces conflicts, dependencies, and gaps before they become problems.
2. Review & Approval Process OwnershipYou own the review process — not just your part of it. That means:
- Setting content deadlines and approval windows for every campaign and send
- Proactively routing drafts to the right reviewers (Marketing, Clinical, Regulatory, Sales, Ops) and tracking status in real time
- Following up consistently and assertively with stakeholders who are behind — this role requires comfort holding people accountable across all levels of the organization
- Escalating bottlenecks quickly to the Marketing Operations Lead when timelines are at risk
- Maintaining documentation of approvals, version history, and compliance sign-offs for every send
No email or text goes out without going through you. That ownership extends to quality, compliance, and timing.
3. Email & Text Execution- Build, QA, and deploy email and SMS/text campaigns across the network (pharmacy-level and corporate)
- Manage campaign calendars and coordinate send schedules to avoid audience fatigue or message conflict
- Guarantee brand voice, visual standards, and CAN-SPAM/HIPAA compliance on every send
- Build and maintain email templates and shared asset libraries in HubSpot and Canva
- Create lightweight visual assets to support campaign needs
- Own the provider email program end-to-end: plan and execute product launches, quarterly and seasonal promotions, and ongoing provider communications in close coordination with the Provider Lifecycle lead
A significant part of this role is improving how our automated systems perform — not just running them.
- Own and optimize triggered email and SMS sequences across patient, provider, and operational workflows
- Audit existing automations regularly for deliverability, engagement decay, and logic gaps
- Partner with Marketing Ops and Sales to design and build new automation workflows that support lead nurturing, patient retention, and provider engagement
- Identify opportunities to reduce manual sends through smart automation and bring recommendations to the Marketing Operations Lead
- Collaborate with the CRM and Data & Analytics teams to ensure segmentation and trigger logic reflects real-time data
- Maintain and manage HubSpot contact lists, segmentation logic, and communication suppression rules
- Apply and enforce brand guardrails and compliance standards across all channels
- Maintain CAN-SPAM and HIPAA compliance; coordinate with Clinical or Regulatory as needed
- Monitor list health: deliverability rates, bounce management, unsubscribe trends
- Manage consistent patient communication programs via email and text, including refill reminders and adherence campaigns
- Monitor patient reviews and route negative feedback to the appropriate pharmacy leadership
- Deliver monthly reports on refill trends, review performance, and engagement metrics
- Pull and analyze monthly email and SMS performance metrics (open rate, CTR, deliverability, conversions, unsubscribes)
- Track list growth, automation performance, and highest-performing campaigns across workstreams
- Synthesize insights and surface recommendations to the Marketing Operations Lead
- Integrate reporting into master Marketing Ops dashboards
- 2–5 years of hands-on experience managing email and/or SMS communication platforms (HubSpot, Klaviyo, Mailchimp, Salesforce Marketing Cloud, or similar)
- Demonstrated experience building and optimizing automated email and text workflows — not just executing manual sends
- Proven ability to manage multi-stakeholder review processes and hold people to deadlines without losing relationships
- Comfort working cross-functionally with Sales, Operations, and clinical teams — not just Marketing
- Highly organized with the ability to manage many concurrent campaigns across multiple audiences and brands
- Strong attention to detail: brand consistency, compliance standards, and QA are non-negotiable for you
- Proficiency in Canva or comparable design tools
- Experience with review aggregation platforms (Birdeye or similar) is a plus
- A proactive, direct communicator who brings structure and clarity — not chaos — to complex workflows
- Comfortable operating in a fast-scaling environment where the playbook is still being written
Physical Requirements:
- Proficient in using a computer and related office equipment, including printers, scanners, and fax machines.
- Ability to sit or stand for extended periods of time.
- Effective communication skills via telephone, video conferencing, and email.
- Ability to lift and carry up to 40 pounds as needed.
- Visual acuity sufficient to read computer screens, printed documents, labels, and other work-related materials.
- Ability to perform repetitive hand and wrist movements associated with typing and data entry.
- Ability to occasionally bend, reach, stoop, and move throughout the work area as needed.
