About the Role
We are looking for a dynamic and experienced Clinic Manager to oversee operations across four Southern California locations: Santa Monica (home base), Downtown Los Angeles, Irvine, and Encinitas. This is a multi-site leadership role for someone who thrives in fast-paced healthcare environments, excels at building and developing teams, and is energized by driving both patient experience and business performance.
As Clinic Manager, you will be the operational backbone of these clinics, removing obstacles, developing staff, managing performance metrics, and ensuring each location consistently delivers exceptional care and sustainable growth.
What You'll Do
Patient Experience
- Champion a transformative patient experience, targeting an NPS greater than 80 and interventional outcomes above company benchmarks.
- Ensure appointment access and flow by maintaining provider utilization above 85% and interventional adoption at or above company expectations.
- Partner with Medical Directors to align clinical care delivery with patient experience goals.
- Build and maintain referral partnerships with local healthcare providers to grow patient volume and continuity of care.
- Support marketing and community outreach initiatives to expand clinic visibility across all four markets.
Team Leadership
- Attract, develop, and retain high-performing team members aligned with Stella's philosophy of care.
- Conduct regular one-on-ones, quarterly check-ins, and annual performance reviews across all clinic locations.
- Lead daily huddles and bi-weekly team meetings to ensure alignment and operational accountability.
- Identify training and development needs; facilitate onboarding, upskilling, and performance improvement initiatives.
- Foster a collaborative, inclusive workplace culture measured through Employee Net Promoter Scores (eNPS).
- Create and maintain efficient staff schedules that balance budget expectations, patient demand, and team wellbeing.
Business Operations
- Lead all four clinics in achieving budgeted revenue and net income targets.
- Monitor clinic performance metrics across locations, identifying trends, risks, and opportunities for improvement.
- Oversee compliance with all state, federal, and internal regulations, including safety protocols, licensure, and certifications.
- Ensure timely and accurate billing, collections, and adherence to accounts receivable and financial controls.
- Manage inventory, supplies, and equipment maintenance across all sites.
- Drive continuous improvement by identifying process enhancements and implementing scalable solutions.
Qualifications
Required:
- 3–5 years of healthcare leadership or clinic management experience, preferably in behavioral health or a medical environment.
- Proven success leading teams to achieve patient satisfaction, financial, and operational goals.
- Multi-site management experience strongly preferred.
- Strong understanding of clinical operations, scheduling, and patient flow management.
- Excellent communication, interpersonal, and problem-solving skills.
- Proficiency in Microsoft Office and Google Suite.
- This role requires regular travel across our four Southern California locations (Santa Monica, Downtown LA, Irvine, and Encinitas).
Preferred:
- Bachelor's degree in Healthcare Administration, Business, or a related field.
- Experience in trauma-informed care, mental health, or integrative wellness settings.
- Familiarity with CRM or workflow tools such as Salesforce or Zendesk.

The pay range for this role is:
85,000 - 95,000 USD per year(CA-Santa Monica)
