JOB DESCRIPTION

Job Title: Assistant Store Manager

Reports to: General Manager

Minimum hours per week: N/A

Employee Type: Hourly Non-exempt

Job Description:

The Assistant Store Manager (ASM) position is responsible for taking direction from the General Manager to learn and assist in the daily operations of a retails store; which includes assisting other store management in training and directing employees within South Bay Lube, Inc. operations; and ensuring all image, customer service, legal, security, and Human Resources guidelines are met. The ASM position is a developmental position in which the employee is constantly training with the goal being to eventually become a General Manager.

Employees Supervised:U 4 to 15 (in General Manager’s absence)

Key Statistics:U Customer Service Satisfaction (CSS) Scores, Mystery Shop Scores, Store Status Report (SSR), Computer Based Training Percentages (CBT), Store Key Performance Indicator, and Dash Board Scores.

Principle Accountabilities:

Individuals in this position are under the direct supervision of the General Manager (GM). This position will be required to assist employees servicing vehicles. While the ASM is working on cars they should be training employees and also managing the flow of customers and otherwise assisting the GM, all as directed by the GM.

Employee Management

  • Responsible for On-the-Job Training (OJT) – Assist GM to ensure all OJT training meets J Team Service Standards (JTSS) and South Bay Lube, Inc. standards.
  • Provide daily coaching and mentoring to store employees to support their development as directed by the GM.
  • Assist GM with administering the correct action process when employee performance is unacceptable.
  • Responsible for conducting investigations associated with store operations under the direction of the GM.
  • Responsible for ensuring store operations are in compliance with all company policies, and state, federal, and local laws and regulations in the absence of the GM.
  • Ensures payroll records are accurate and hourly employees clock in and out in accordance to company policy and state and federal regulations and laws.
  • Responsible for training certification of store employees under the direction of the GM.
  • Ensure weekly customer service rallies are performed with store employees when directed by the GM or in their absence.
  • Responsible for employee scheduling (in absence of the GM).

Store Operations:

  • Responsible for assisting the GM in managing the following store operational items:
  • Ordering, receiving, maintaining and reconciliation of inventory.
  • Accountable (in the absence of GM) for timely opening, closing of store and delivery of bank deposits.
  • Responsible for site standards for cleanliness/housekeeping and other activity board assignments as directed the GM.
  • Report areas within the store and its operations which require attention, (i.e. – JTSS, Speed of Service, Customer Service Satisfaction procedure, and Mystery Shop Procedures). Communicate issues with recommendation of GM.
  • Reinforce performance expectations outlined by GM to the store team.
  • Continuous employee reinforcement to deliver the commitment, Fast, Trustworthy, and Knowledgeable…..Every time, Everywhere.
  • Floor control – perform team lead position to optimize JTSS, service times and delivery of service to customers as required by JLI and South Bay Lube, Inc. standards.
  • Assist the GM with investigations to resolve customer complaints and warranties as needed.
  • Assist the GM with the implementation of marketing/customer experience programs.
  • Assist the GM to ensure adherence to store administration policies, procedures, and guidelines.

Health, Safety, Security and Environment (HSSE)

  • Wear required Personal Protective Equipment (PPE) always, setting an example for others to follow.
  • Administer first aid to employees.
  • Transport employees to clinic or ER for treatment (as needed).
  • Report near misses, first aids, recordable injuries, lost time injuries, environmental issues, Notice of Violations (NOV’s) to GM.
  • Complete HSSE incident reports for review by GM.
  • Implement GM steps/suggestions to ensure a safe environment for employees and customers.
  • Ensure proper documentation and reporting of incidents to GM in a timely manner.
  • Ensure GM policy and procedures are effectively implemented when incidents occur.

Job Knowledge Skills and Experience:

Skills

  • High School Diploma or equivalent.
  • Three years automotive and/or retail experience preferred.
  • Ability to coach and counsel to achieve business results.
  • Problem solving skills.
  • Speak, read, and write English. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedures manuals. Ability to speak effectively with customers and employees.
  • Ability to calculate figures and understand company financial documents.
  • Valid driver’s license required.
  • Ability to use all the applications on the company computer system to effectively and efficiently service the customer.
  • 100% completion of required computer-based training (CBT) for all positions required.
  • In process of completing management training modules for GM level.
  • Attendance is an essential function of employment, and you must be timely and ready to work your scheduled shifts.

Physical Requirements

  • The ASM position will require the employee to regularly service cars. Thus, while performing the duties of this job the employee is regularly required to stand and walk.
  • Use of hands, and fingers to feel, reach with hands and arms.
  • Flexibility to work in awkward positions.
  • Able to climb stairs.
  • Able to lift objects up to 25 pounds and transfer from one height to another.
  • Able to climb, balance, stoop, kneel, crouch and crawl.
  • Able to communicate clearly.
