Job Description

Position Title: Business Administration Manager

The Opportunity:

We are seeking a Business Administration Manager to serve as the operational and commercial hub connecting Sales, Finance, Operations, Supply Chain, and Legal teams. This role is ideal for a highly analytical professional with experience in contract administration, commercial operations, and cross-functional project management who enjoys driving process improvements and mitigating business risk.


What You Will Do

Contract & Commercial Administration
    Cross-Functional Liaison: Serve as the primary operational liaison between Sales, Operations, Finance, Supply Chain, and Legal teams to ensure full contractual integrity and lifecycle execution.Document Administration: Support the administration, tracking, maintenance, and renewal filings of the company's proprietary asset portfolio—including patents, copyrights, trademarks, and trade secrets.Document Management: Review, manage, and track commercial documents, non-disclosure agreements (NDAs), master service agreements (MSAs), contracts, and statements of work (SOWs).Contract Oversight: Partner with Finance and Sales to ensure all active contract terms, pricing parameters, delivery commitments, and specialized conditions are understood, tracked, and honored across the business.Workflow Standardization: Standardize contract administration workflows, maintaining an accessible, audit-ready central repository of commercial obligations and critical milestones.External Legal Counsel Coordination: Liaise directly with external legal counsel and patent/trademark agents to manage docketing schedules, filing deadlines, evidentiary support, and documentation requests.Risk Mitigation: Identify commercial and contractual risks within sales proposals and vendor arrangements, proposing proactive mitigation strategies to protect business interests.

Consignment Operations & Inventory Governance

    Agreement Lifecycle: Oversee the end-to-end administration of consignment agreements, including terms compliance, renewal negotiations, and formal contract amendments.Inventory Reconciliation: Conduct routine inventory reconciliations in close coordination with Operations, Supply Chain, and Finance to ensure physical-to-book accuracy, mitigate shrinkage, and resolve discrepancies.Compliance Monitoring: Monitor customer compliance regarding minimum turnover thresholds, settlement cycles, payment remittances, and audit rights.

Cross-Functional Collaboration & Strategic Guidance

    Commercial Guidance: Provide commercial and contractual guidance to support strategic business decisions, bids, and high-value customer negotiations.Stakeholder Partnership: Collaborate with Finance, Operations, Procurement, Supply Chain, and external legal counsel to optimize commercial deal structures, margins, and operational feasibility.Process Improvement: Drive continuous operational improvements by establishing streamlined approval matrices, standard operating procedures (SOPs), and compliance checklists.

What You Will Need

    Bachelor’s degree in business administration, legal studies, finance, supply chain, or related field.5+ years of progressive experience in business operations or business administration.Demonstrated experience working with commercial contracts, sales, and consignment agreements.Working knowledge of asset administration (including trademarks, patent lifecycle tracking, licensing, NDAs).Ability to travel as needed to remote offices, customer sites, and other business locations.
Preferred Qualifications
    Microsoft Excel (Advanced), including Power Query, Pivot Tables, complex formulas, and financial modeling.Microsoft Power BI for dashboard development and business analytics.Microsoft Dynamics 365, SAP, Oracle ERP, or similar enterprise resource planning (ERP) systems.Salesforce CRM or comparable customer relationship management platforms.Microsoft SharePoint and Microsoft Teams for document management and collaboration.Microsoft PowerPoint and Word for executive presentations and contract documentation.Advanced Credentials: Master's degree (MBA), Paralegal Certificate, or Certified Commercial Contracts Manager (CCCM/IACCM).Negotiation Skills: Proven track record in vendor/customer contract terms negotiation and renewals.Analytical Acumen: Advanced financial modeling and inventory reconciliation capability in Excel.Cross-Functional Leadership: Exceptional communication and influence across executive, legal, and operational counterparts.

Compensation

For U.S. locations that require the disclosure of compensation, the pay range for this position is $100,000 - $120,000. Please keep in mind that this range is base pay only and does not include other components of the total rewards package for the position. If you are hired at Richline Group, Inc., your overall compensation will be determined based on factors such as skills, education, and/or experience, which may result in total compensation outside of this range.
