Midwest Co-op is currently accepting resumes for an Administrative Assistant - Reception & Executive. Under the direction of the Corporate Services Manager, the Administrative Assistant – Reception provides essential administrative and office support while serving as the primary front desk contact. This role is responsible for managing incoming calls and visitors, coordinating office operations and supplies, maintaining a professional office environment, and supporting internal meetings and events. The position focuses on day‑to‑day administrative functions, front desk operations, and office coordination to support efficient organizational operations under general supervision.

ESSENTIAL JOB FUNCTIONS
FRONT DESK & RECEPTION
- Serve as the primary front desk presence and first point of contact for visitors
- Professionally answer, screen, and route incoming phone calls
- Greet and assist guests, clients, and candidates
- Coordinate visitor access, meeting room use, and basic hospitality needs
- Receive and distribute mail, packages, and deliveries
- Maintain a clean, welcoming, and professional reception area
ADMINISTRATIVE & OFFICE SUPPORT
- Support general administrative functions across the organization and provide backup support to other administrative staff as needed.
- Maintain office files, records, and document management systems and support special projects as needed.
- Manage office supplies and amenities, including ordering food and beverages, maintaining stocked kitchen and fridge areas, and coordinating with vendors.
- Support internal meetings, events, and special projects by coordinating logistics, catering, company-branded materials, banners, merchandise, and required technology.
EXECUTIVE & LEADERSHIP SUPPORT
- Provide administrative support to assigned leadership team members
- Assist with calendar coordination, meeting scheduling, and logistics
- Prepare agendas, presentations, and basic reports as needed
- Draft and edit correspondence and internal communications
- Handle sensitive information with confidentiality and discretion
OTHER JOB FUNCTIONS
- Follow all health and safety requirements under the Occupational Health and Safety Act (OHSA), including using required protective equipment, following safety procedures, and reporting any potential hazards.
- Follow all company personnel policies, including expectations related to training, performance, and conduct.
- Participate in required MCS training such as Ministry of Labour courses, Health & Safety Standards, Policies, and AODA accessibility training.
- Work cooperatively with approved contractors and follow all related safety procedures when contractors are on site.
- Maintain any required licenses, certifications, or regulatory requirements needed for your role.
- Perform other assigned duties as assigned.
REQUIREMENTS
- High school diploma or equivalent required; post-secondary education in office administration or a related field is preferred
- Preferably 2+ years of administrative, reception, or office support role experience.
- Professional demeanor and strong customer-service orientation
- Comfortable managing a high-volume phone line.
- Proficient in Office 365 including Excel, Word, Outlook, and Teams
- Effective oral and written communication and organizational skills
- Excellent organization and time-management abilities, with the ability to multi-task and maintain a positive, professional manner under all conditions
WORKING CONDITIONS
- Primarily works in a professional office environment, with responsibilities performed at a front desk and within general administrative office areas.
- Regular interaction with employees, visitors, and external contacts
- Requires frequent standing, walking, bending, and the ability to lift up to 25 kg
- Occasional extended hours may be required during peak periods or special events
